Job Description
EDITORIAL, DESIGN, AND PRODUCTION (EDP) ASSISTANT, MIT Press, to provide administrative and data entry support across the editorial, design, and production departments. Responsibilities include performing the initial review of final manuscripts to confirm they follow turnover guidelines/checklist; maintaining CIP data application process for all titles with Library of Congress; requesting castoffs; entering and maintaining EDP metadata fields in the Press’ internal title management database and in its distributor’s web portal; distributing “Look Inside the Book” assets; generating and distributing weekly reprint and on sale reports; processing invoices from vendors and preparing purchase orders for new vendors; updating P&Ls; coordinating the monthly order of new books to be archived; co-managing MIT Press book archive (unpacking books from boxes, shelving books on bookcases; and performing additional tasks/projects as needed. The work will involve moving items weighing roughly 20 lbs.
Job Requirements
REQUIRED: high school diploma or its equivalent; at least three years of administrative experience; excellent organizational, time-management, and written and verbal communication skills; ability to manage multiple responsibilities and allow for the timely completion of weekly/daily tasks in a deadline-driven environment; meticulous attention to detail; ability to work independently and collaboratively within a team; comfort working with external vendors and other departments within the Press; proficiency with Microsoft Word, Excel, Outlook, FileMaker Pro, and Adobe Acrobat; and willingness to learn and use new software. PREFERRED: associate’s/bachelor’s degree in a related field, familiarity with the Chicago Manual of Style, knowledge of editing and proofreading, an interest in learning how books are made, and experience in a book publishing environment.
