Job Description
Under the general supervision of the Administrative Supervisor, will provide
exceptional customer service, clerical and administrative support to the District Court locations. Will be responsible for developing, maintaining and updating files, records and databases. This position involves interaction with attorneys, law enforcement agencies, court personnel, state agencies and the public and involves a wide range of responsibilities.
Duties and responsibilities include the following:
Provide administrative, clerical and general support to the District Court Assistant District AttorneysAnswer, direct and respond to incoming calls as well as answer voicemailPhotocopy, fax, scan, proofread and create documents Copy DVDs and CDsReceive and screen visitors and callers; explain procedures and provide information and/or refer to appropriate staffManage internal and external mail flowType correspondence and summons witnesses and recordsType letters and motionsCreate and distribute new District Court filesLog closed files and file accordinglyDistrict Court DAMION case entry, updating and disposition Run Board of Probation and Triple I Requests Provide backup administrative support when needed Attends meeting and trainings as requiredParticipates in projects as assigned by ADA'sPerforms any other duty that may be requested by the District Attorney or his designee
Qualifications
Qualifications:
Must possess a minimum of 2 years of full-time or equivalent part-time administrative work experience Strong computer skills and proficiency in Microsoft Word and Excel Excellent organizational skills with a strong attention to detail Ability to prioritize time sensitive matters and ensure all deadlines are met Strong written and verbal communication skills Ability to work in a fast paced environment, prioritize effectively and meet deadlines Ability to maintain a high level of confidentiality and maturity in handling sensitive matters Diplomacy in dealing with professionals and members of the public Self-motivated individual who works well both independently and as part of a team Ability to maintain harmonious relationships with fellow employees and other government agencies Always displays the utmost professional appearance High school diploma or equivalent required
