About Dispatch Scheduler

Description

We are seeking a Dispatch Scheduler to join our team located in Kalamazoo, Michigan. This is a contract position for 3-6 months. 8am-5pm, M-F. 100% onsite. You'll be supporting a non-profit organization that cares for the elderly community. You'll enjoy this job if you love puzzles, when you are scheduling, you will be placing and coordinating locations and people in ways to ensure efficiency and participant satisfaction. You will excel at this role if you have experience in scheduling, dispatching, route planning and/or healthcare.

Responsibilities:

Experience in or understanding of healthcare services.

Strong scheduling experience (experience in inventory scheduling can be relatable).

Excellent customer service skills, including communication with participants, families, vendors, and resolving real-time transport issues.

Ability to handle agile and flexible scheduling changes effectively, similar to an executive assistant role.

Capability to communicate firmly with drivers, participants, or families about schedule adjustments.

Participation in daily interdisciplinary team meetings, advocating for participant needs (e.g., additional visits, medication adherence).

Comfort with desk work while frequently interacting with others (e.g., participants, healthcare providers).

Proficiency in basic Microsoft Office Suite (Excel essentials) and familiarity with EMR systems

Availability for a minimum of 3 months, with a preference for 6 months to cover staff leave and other needs.

Willingness to undergo onboarding and training in Battle Creek, Michigan (a 4-week process, hybrid schedule).

Flexibility to work an 8.5-hour day with a half-hour lunch, starting between 7:30 am or 8:00 am.

Ability to address transportation challenges, such as missed pickups or urgent participant needs.

• Address customer inquiries promptly and professionally

• Manage inbound calls

• Display strong communication skills to effectively interact with the team and customers

• Show flexibility and organization in managing various tasks

• Use Office Suite, especially Outlook and basic Excel, for daily operations

• Switch to SharePoint when necessary for work execution.

Requirements

• At least 1 year of experience in a Dispatcher role or a similar position

• Strong skills in various computer programs and software

• Familiarity with CRM systems

• Ability to provide accurate and timely responses, demonstrating the skill 'Answer'

• Experience in answering inbound calls in a detail oriented manner

• Understanding of billing functions and processes

• Excellent communication skills, both written and verbal
