The base pay range shown above considers the wide range of factors that are considered in making compensation decisions including knowledge/skills; relevant experience and training; education/certifications/licensure; and other business and organizational factors.   Reporting to the Director of the Alliance for Digital Equity, the Grant Manager provides financial and grant management expertise and is responsible for the pre-and post-award management of non-federal and non-state grants contracts and sub-awards to a large and diverse set of community-based nonprofits. Also, where federal grants are the subject, this person will serve as the liaison between SPA’s pre-grant and post-grant administrative staff to help ensure compliance with federal regulations and Baystate Health requirements.

  The Grant Manager will support community-based partners and internal Baystate investigators and departments in seeking external funding for public health grants by working with the Strategic Planning Department’s Grant Writing Staff. One primary function of this position is to assist community-based partners in the preparation, submission, and pre-award administration of grants and contracts, including annual progress reports and sub-awards.

  This position works closely with community-based sub-awardees, internal Baystate, departmental and program administrators, and hospital finance operations to provide financial information and advice on fiscal matters when needed. Adheres to system and department compliance policies and applicable laws and regulations. Performs other duties as assigned.

  Job Requirements

  1) Pre- and Post-award activities for non-federal and non-state awards include assisting in the development of scopes of work, milestones, metrics, regular review, reconciliation, and projection of award finances, preparing adjustments and corrections to award budgets, preparing financial reports, and at the end of the award, ensuring all financial requirements have been met, and closing out the award.

  2) Pre- and post-award activities for federal and state awards include serving as liaison with SPA to assist in the development of scopes of work, milestones, and metrics, executing regular reviews, reconciliations, and projections of financial activity, preparing adjustments and corrections to award budgets, preparing financial reports, and at the end of the award, ensuring all financial requirements have been met, and closing out the award.

  3) Utilize Foundant Grant Management Software as a platform to develop a good working relationship with sub-awardees, respond to questions and concerns, and troubleshoot issues as needed.

  4) Works as a liaison between community-based nonprofits and SPA to facilitate pre-award and post-award grant management activity (e.g., joint contract negotiations, contract development, dissemination, and approval process).

  5) Grant Manager, with administrative support, works with departmental and program administrators and hospital finance operations to provide financial information and manage related transactions (e.g., processes sub-awardees and consultants’ invoices via OnBase and provides backup documentation such as invoice, payroll & other financial reports, sole source justification, and procurement checklist).

  6) Maintain grant compliance and reporting, including outcome measurement and grant budgets, and overall financial monitoring.

  7) Use the Foundant Grants Management platform and related tools (AirTable and BaseCamp) to document and store progress reports and milestones.

  8) Work through with the SPA grants management system to complete federal and state contract financial reporting and reconciliation, desk audits, etc. as part of compliance and risk management.

  9) Facilitate regularly scheduled grants management meetings.

  10) Take responsibility for meeting high standards of effectiveness, timeliness, and completeness, including tracking progress

  Minimally Required Experience

  Three years of proven experience in grants management; basic knowledge of non-profit accounting and federal guidance (e.g., federal, state, and general funding agency rules and regulations, A133, and Uniform Guidance), program budgeting, and project management skills.

  Knowledge of grant processes, including accounting and financial reporting. Proficient in Microsoft Office, specifically Word, Excel, and PowerPoint. Experience with Foundant, AirTable, and BaseCamp grants management software programs.

  Strong administrative skills and self-motivated with the ability to set priorities and manage multiple tasks under minimal supervision effectively and efficiently.

  To be successful, the ideal candidate should possess strong organizational and time management skills to achieve timely progress on multiple simultaneous complex projects, meet tight deadlines, goals, and objectives, maintain a high level of productivity and accuracy, and have interpersonal and communication skills to interact professionally with staff & faculty, colleagues, and other outside agencies.

  Highly proficient computer skills and experience in, but not limited to, MS Office (Word, Excel) and the skills to manipulate and extract data and work from various sources (databases, Word files, plain text files, PDF, email, etc.).
