We currently have an exciting opportunity for a Department Assistant to join our Engineering organization within the MQ-1C P&L Team. This position supports the Senior Engineering Director and a team of 75 individuals. Additional administrative support may be required to assist directors/managers within the Engineering organization. This position may also provide backup support to the Executive Assistant for the Vice President of the MQ-1C P&L.
The Department Assistant is responsible for providing direct assistance to the Senior Engineering Director. Coordinates access to the Senior Director, maintains their schedule, including travel, requiring contact with internal management, staff, including external customers. In addition, the position is responsible for records, statistics, timelines, tables, correspondence, and presentations, which may be confidential and sensitive in nature, and which requires considerable use of tact and discretion in handling. Communicates with administrative and management personnel to gather or convey relevant information. Initiates special reports, maintains staffing & training updates, and performs a variety of specialized activities in support of engineering. The position has frequent contact with executives, management, and staff including representatives of outside organizations and may be a contact point for customers. The Department Assistant may provide direction and guidance to less experienced staff. Most assignments are considered complex in nature where judgment is required in analyzing, interpreting, and making recommendations in resolving non-routine issues.
DUTIES AND RESPONSIBILITIES:
Coordinates schedules and ensures management is made aware of issues that need immediate attention.
Interfaces with executives, managers, and staff as well as customers and visitors to gather and prepare information.
Coordinates the preparation and review of correspondence, reports, and presentations for internal and external audiences.
Plans, schedules, and coordinates various organizational meetings, events, and travel arrangements.
Tracks progress of delegated staff assignments and may coordinate activities between departments.
Screens calls, prioritizes mail, and maintains follow-up system to ensure completion of each task or project.
Maintains confidential and specialized files and/or records.
Utilizes judgment in determining which tasks can be handled and which tasks need to be directed to management or to other members of the organization.
May provide guidance and/or direction to other staff.
Maintains the strict confidentiality of sensitive information.
Responsible for observing all laws, regulations, and other applicable obligations wherever and whenever business is conducted on behalf of the Company.
Expected to work in a safe manner in accordance with established operating procedures and practices.

Job Qualifications:
Typically requires a High School diploma and four or more years’ experience of progressively broadening office administration experience, including experience supporting mid-management or higher positions.
A working knowledge of MS Word, Outlook, Excel, PowerPoint, and Teams.
Excellent attention to detail and organization skills with the ability to identify and establish competing priorities within set deadlines.
Strong analytical, interpersonal, verbal, and written communication skills to accurately document, report and interface effectively with all levels of personnel, including management, customers and suppliers.
The ability to maintain the confidentiality of sensitive information.
Must possess the ability to grasp new concepts quickly.
The ability to identify issues, interpret and explain complex information and solve non-routine problems, issues or situations that require evaluation and interpretation.
Ability to work autonomously and perform well under pressure.
Ability to effectively contribute as a team member.
The ability to obtain and maintain DoD Security clearance required.
