The Bookstore at the College of Saint Benedict and Saint John's University invites applications for a full-time (0.94 FTE), benefit eligible position of Course Materials Coordinator. The Course Material Coordinator works in partnership with the Director in managing the course materials process and trade book buying for College of Saint Benedict (CSB) and Saint John s University (SJU). This position is integral in helping to make sure that the Bookstores stock the correct materials, as requested by instructors, in appropriate quantities and in a timely manner. This position will work directly with campus partners, students, and faculty to successfully execute the textbook timeline each term. Responsibilities Course Materials Work closely with faculty on textbook adoptions, timelines, notifying them of all options and any possible ordering issues. Enter course material adoptions in bookstores ordering system. Determine ordering quantities needed based on prior sales, course history, enrollment, and faculty input. Utilize most cost-effective ordering methods while ensuring all materials are available for sale in a timely manner for the academic term. Ensure all copyright permissions are in place for duplication of course materials. Be responsible for order entry and faculty communication of digital books program. Be responsible for creating book buyback list for end of semester book buyback events. Set up sales floor for sales of course materials. Manage timely return of materials to vendor(s). Possess a working knowledge of the text management system to include all applications and processes required to maximize the system potential. Be responsible for organizing incoming shipments, receiving/invoicing/credit memo reconciliation. Assist in the development of marketing plans for book buyback events, on-line text fulfillment, and special programs. Use knowledge base to make responsible judgement calls on the sales floor on a situational basis. Trade Books In partnership with the Director, Responsible for buying and managing inventories for trade books, including product selection, reordering of stock, markdowns and returns to ensure the desired inventory levels are maintained. Coordinate the scheduling, set-ups, marketing and selling both in-store and off-site book and author events. Responsible for special order process for trade books, ensuring timely order placement and delivery. Accounting Reconcile daily cash, charge sales and deposits. Assist with the coordination of cash needs for buybacks and returns. Possess a good understanding of the point-of-sale systems and perform the necessary actions to ensure system integrity. Maintain and reconcile accounts payable for areas of responsibility. Customer Service Greet customers on the sales floor and offer assistance, creating a welcoming and friendly environment. Provide service desk assistance, floor coverage and back-up register coverage as needed, effectively utilizing the point-of-sale system. Maintain a neat, clean, and safe work environment in all work areas and on sales floor. General Duties Assist with training of student employees. Perform other duties and special projects as assigned by the Director or Assistant Director. Be willing to alter workflow and work priorities to assist the organization when asked. Support innovation, creativity and ideas to improve or enhance processes, functions and increase productivity in the Bookstore. Maintain a working knowledge of all departments to provide cross-functional support with a variety of Bookstore projects or in other areas, as directed.
