Location: RemoteSchedule: Monday - Friday, 8am - 5pmPay Range: $25-$30 per hourPOSITION SUMMARY: The Coordinator of Leaves of Absence (LOA) works in conjunction with Elwyn's third-party leave administrator (TPA) to oversee, administer, and coordinate statutory, company-provided leave requests, and leave accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans in addition to any leaves available under Elwyn policy (e.g. personal, military, and educational leaves).DUTIES AND RESPONSIBILITIES:Communicates with employees via phone or email, as the primary point of contact, regarding employee's need for statutory or company-provided leave and/or leave accommodation requests to ensure complete and timely conveyance of leave information and to ensure human resources business partners (HRBPs), employee relations, human resources operations (HR Ops), Benefits, and Payroll are notified following appropriate proceduresEnsures that employees have clear instructions for how to contact Elwyn's TPA to initiate statutory leave requests, are aware of the employee's responsibilities and of any documentation and notice required of the employee to qualify for and to take leaveAssists employees with the FMLA and other statutory leave administration process from the employee's initial notice of the need for leave through the entire leave life cycle, including return to work, by troubleshooting leaves administered through the TPA, assisting the employee to gather, understand, and complete all required paperwork, escalating leave processing issues, as appropriate, and designating company-administered leave as personal, military, or educational, as appropriateCompletes internal personnel change forms to initiate and update, as needed, the employee's status in the human resources management system (HRMS) throughout the leave process (e.g., pending determination, leave approved/denied, return from leave of absence), ensuring timely designation of leave and that leave status is maintained correctly throughout the leave life cycleMaintains timely communication with employees on leave to determine status and to facilitate a smooth and timely return to work, including any possible needs for leave extension or leave accommodation (e.g., restrictions) and/or return-to-work documentation that is neededCoordinates initial activities between the employee and employee relations for any leave accommodation requests under federal, state, and local leave and under company policy, including but not limited to accommodations request under the ADA, state disability leave acts, pregnant workers fairness acts, the Uniformed Services Employment and Reemployment Rights Act (USERRA), and company-provided education and personal leavesIn coordination with the Employee Relations, communicates to the employee the outcome of any interactive process under applicable federal and state leaves including but not limited to the ADA andUpdates the operational leadership and HRBP of the employee's leave status, communicating the expected return-to-work date or, if a leave accommodation request has been initiated, to ensure timely communication and appropriate transparency of processing such requestsAdvises managers and employees on the intersection and coordination of leave laws with any available paid time off benefits, workers compensation, short- and long-term disability benefits, state temporary disability insurance, and state dependent leave insurance; works in cooperation with Risk Management for the transfer of any information/reports for workers compensation claimsCreates and maintains a dashboard for easy tracking of all leaves by entity, service area, and program and co municates regularly with operational leadership, HRBPs, Benefits, Payroll, and senior leadership, as needed or requested, on the status of all open and pending leaves and leave statusesMaintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws by attending webinars/seminars and staying current with literature review to provide accurate information to employees and to ensure proper coordination of leaves around any available wage continuation benefits offered through company-provided benefits or through available state insurancesDrafts and/or recommends revisions to Elwyn company leave policies to ensure compliance with federal, state, and local laws and regulations in conjunction with the Employee Relations ManagerParticipates in any review of leave vendors and partners including but not limited to assisting in the selection of any needed vendors and leave administration partners, assisting in the collection of business requirements, and making any recommendations for changes in processes between Elwyn and its vendors and partnersMaintains secure access to records of leave and accommodation documentation in accordance with specified legal requirements, documentation of best practices, and Elwyn protocolsUnderstands and complies with terms and conditions of collective bargaining agreements (CBA) within a unionized environment including adherence to administering leave processes, etc.Performs other duties as assignedIMMEDIATE SUPERVISOR: Associate Director, Employee RelationsDIRECT REPORTS: NoneCONTACTS: Elwyn employees; third-party leave administrator representatives; medical practitioners, and medical practice office staffEDUCATION/EXPERIENCE/SKILLS REQUIREMENTS:High school diploma or equivalent; bachelor's degree in human resources or related field preferredThree (3) years' experience administering and processing statutory federal, state, and local leaves in multi-jurisdictions (federal, state, local) and administering company-provided leavesProfessional Human Resources (PHR), Senior Professional Human Resources (SPHR), Society for Human Resources Management -- Certified Professional (SHRM-CP), or Society for Human Resources Management -- Senior Certified Professional (SHRM-SCP) certification preferredCompletion of specialized certification or training on FMLA/statutory leave administration a plusDemonstrated strong knowledgebase of statutory leaves with the demonstrated ability to research new statutory leave requirements as they emerge from federal, state, and local legislative acts, laws, and ordinancesPrevious experience working within a unionized workforce preferredDemonstrated ability to work effectively as part of a teamAbility to work in a fast-paced environment and manage and prioritize multiple, often competing, prioritiesDemonstrated strong attention to detailDemonstrated strong time management and organizational skillsDemonstrated excellent judgment with the ability to independently solve problems and make decisions with little or no need for direct supervisionDemonstrated ability to anticipate future needed changes or identify problem areas and take effective actionsMust possess excellent customer interaction, collaboration, presentation, and written and verbal communication skillsDemonstrated intermediate proficiency with Microsoft Office applications, including Word, Excel, Outlook and PowerPoint;
