Who you areWe are seeking a highly organized and experienced Commercial Real Estate Marketing Assistant (Client Services Coordinator) to join our dynamic real estate team. The successful candidate will be responsible for managing the day-to-day operations of our real estate team, working closely with both our agents and support staff to ensure a high level of quality, productivity, and customer service.This is a Fully On-Site role primarily at our South Millrock office location.
What you bring*Prefer Bachelor's degree in business administration, marketing, real estate, or a related field*2+ years of experience in Office Administration and supporting other staff members*Proficiency with Adobe InDesign and Illustrator*Strong leadership, communication and collaboration skills*Excellent organizational, time management and problem-solving skills*Ability to multitask, prioritize and delegate effectively*Strong attention to detail and accuracy*Experience with real estate transaction management systems*Experience with HubSpot or other Customer Relationship Management systems*Excellent computer skills, including proficiency in Microsoft Office Suite and Google Suite.*Ability to work under pressure, deal with multiple deadlines, effectively handles stressful situations, and work with minimal direction/supervision*Excellent communication (follow-through and follow-up) skills, and ability to meet commitments and deadlines.

What success looks like*Provide ongoing coaching, training and support to the real estate team, helping to develop processes and procedures that contribute to the overall success of the team*Provide general administrative support for multiple members of the team*Create and maintain detailed transaction files for all transactions, keeping track of all updates and deadlines.*Manage the processing of all paperwork and documents associated with each transaction, including coordinating with title companies, and other third party vendors*prioritize and track action items*Invoicing*Write or edit Requests for Proposals (RFP's) and Letters of Intent (LOI's)*Write or edit other team documents for spelling, grammar and layout*Monitor competitor research and data collection*Coordinate and manage marketing campaigns and initiatives, including online marketing, print advertising, and social media efforts*Monitor and analyze key performance metrics, such as lead conversion rates, customer satisfaction, revenue growth and profitability, and make recommendations on ways to improve performance*Build and maintain strong relationships with key stakeholders, such as clients, industry partners, and vendors
