$98,000-$110,000 annually plus a generous benefits package
Under the direction of the President & CEO, the Chief of Staff will serve as a strategic advisor and partner that possess a strong learning background with strategic ability and experience in organizational change management, measuring performance output, and be able to recognize what needs to occur to facilitate change that will help the Association meet its strategic objectives. This position will provide direct day-to-day support to the President & CEO. The ideal candidate will have proven success in a business management role, with a special focus on executive-level advising and interdepartmental collaboration. The position is responsible for demonstrating YMCA leadership competencies to ensure the mission, purpose, image and core values of the YMCA of Greater Rochester are conveyed.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Oversee implementation of Strategic Plan initiatives under the supervision of Senior Leadership and work with Senior Leadership to implement, monitor and present the progress of Strategic Plan goals.
Management of the President & CEO’s calendar with a focus on prioritizing time and scheduling travel.
Represent President & CEO in meetings, by email, and on phone calls with internal and external stakeholders.
Support President & CEO in meetings by taking notes and assuming responsibility for completion of action items.
Engage stakeholders by connecting President & CEO to important local, regional, and state opportunities and stakeholders in coordination with Chief Development Officer.
In coordination with key Experience Team members, communicate on behalf of the President & CEO via drafting of letters, emails, reports, and preparing of PowerPoint presentations or other forms.
Hire and manage Association Office Administrative Team who provide administrative duties for Senior Leadership Team members, including managing calendars, special projects, completing expense reports, composing and preparing correspondence, maintaining hard copy and electronic files, reconciling credit card statements, processing invoices for payment and tracking expenses.
Create and manage department budget.
Build and develop relationships with all employees for increased efficiency and effective responsiveness.
Develop relationships and work with Board of Directors on behalf of President & CEO.
Maintain strong relationships and demonstrate high level of diplomacy when dealing with key volunteers.
Responsible for Committee Meetings which include preparing and distributing agendas, meeting notifications, packet of materials and minutes.
Assist with administrative needs of certain legal documents.
Provide event planning and execution support for Association events, donor events and recognition programs throughout the year.
Attend all required meetings and trainings.
Must be able to work a flexible schedule which may include a limited number of evenings and weekends as required.
Requirements
Bachelor’s degree (or equivalent experience) in business administration or similar field.
Seven or more years of experience in a business management or executive role.
Experience in data analysis and budget management.
Proven success in a project coordination role.
Nimble business mind with a focus on developing creative solutions.
Strong project reporting skills, with a focus on interdepartmental communication
Strong technical skills in a variety of applications (i.e. MS 365, other tools/solutions).
Excellent oral and written communication skills with high attention to detail.
Experience in planning and leading strategic initiatives.
Experience in organizing and directing multiple teams and departments.
Versatile abilities and extreme dedication to efficient productivity.
Calm under pressure and a team player.

PHYSICAL REQUIREMENTS:
Must be able to sit or stand for the duration of the shift.
Must be able to lift at least 25 pounds.
Must have the ability to travel site to site or to event locations and conferences/trainings.
