JOB SUMMARY:
Provide administrative support to staff and/or supervisor. The Case Manager Assistant is proficient utilizing Microsoft Office, such as Word, Excel, and Power Point. Duties require professional verbal and written communication skills while also being able to multitask. General clerical skills are a must, including preparing letters, filing, and following proper telephone protocol. Case Manager Assistant must be punctual and dedicated to performing all duties and tasks as assigned.
DUTIES AND RESPONSIBILITIES:
Receive incoming telephone calls.
Provide answers to routine inquiries and/or refer to other personnel.
Greet and screen visitors at the front desk.
Prepare correspondence for supervisor’s review and signature.
Create and modify documents using Microsoft Office.
Assist Case Managers with general clerical duties to include but not limited to creating letters, photocopying, faxing, mailing, and filing.
Coordinate with Case Managers to schedule client transportation.
Distribute, document and order Gas Card/Bus Tokens for clients.
Maintain electronic file and hard copy of documents in an organized manner.
Create and maintain the monthly calendar of events and update websites with pertinent information regarding events.
Sign for and distribute packages (UPS, FedEx).
Sort and deliver mail to appropriate staff.
Maintain copier, equipment, and order supplies.
Setup and coordinate meetings, conferences, and schedule of events.
Support staff in assigned project-based work.
Assist Attorneys as needed.
Order and maintain inventory of supplies for all PHC locations.
Performs other duties as directed by supervisor.

QUALIFICATIONS:
To perform this job successfully.
Must be able to perform each essential duty satisfactorily.
EDUCATION/EXPERIENCE:
High school graduate and at least
One (1) year office experience in dealing with the public.
Pleasant telephone etiquette.
Ability to deal tactfully and effectively with clients and patients.
Must be computer literate.
LANGUAGE SKILLS:
Ability to read, write, speak and comprehend written documents fluently.
Bilingual in Spanish is preferred.
MATHEMATICAL SKILLS:
Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
CERTIFICATES/LICENSES/REGISTRATIONS:
No professional certifications, licenses or registration required. All candidates will be required to submit a criminal background check as a part of pre-employment.
