The City of Littleton has an opening for a Business Support Assistant to support the Human Resources, Information Technology, and Finance Departments. This term-limited position will work 40 hours per week, performing a wide variety of office and administrative functions. Hiring pay range $20.50 - $22.51 per hour
This position is non-exempt per FLSA and is eligible for overtime compensation.
Work Schedule: This position will primarily work in person Monday through Friday between the hours of 8 am and 5 pm. The work schedule may be flexible (start time/stop time) and occasional teleworking options may be available.

ESSENTIAL DUTIES RESPONSIBILITIES:
Overall support for all three departments
Processes invoices through Workday and performs P-Card reconciliation.
Coordinates and orders office supplies.
Assists with organizing and planning meetings, events, and training; orders food or catering if needed; makes travel arrangements if needed.
Assists with the administration and editing of the HUB SharePoint Intranet site.
General support for all departments.
Human Resources
Provides back up assistance and lunch coverage as needed for front desk reception, greeting incoming visitors and callers, mail and package distribution, answering questions, and providing information.
Processes volunteer background checks.
Completes Laserfiche new hire files, files new hire paperwork from Workday into Laserfiche; files all recruiting paperwork (interview notes/apps/backgrounds, etc) into Laserfiche.
Assists HR staff with researching, and answering customer questions, employment verifications, responding to emails, and various administrative support projects.
Information Technology
Performs documentation cleanup and assists with departmental digital communications.
Provides follow-up communications to city staff regarding select Help Desk tickets.
Finance
Takes payments for Utilities and sales tax payments and assists with opening and distributing mail.
Processes insufficient checks.
Assists with the Senior Refund Program.
Verifies Vendor/Supplier records and mails vendor payments.
Creates and mails monthly sales tax notices.
Assists with the preparation of the Annual Comprehensive Financial Report and Budget document.
MINIMUM QUALIFICATIONS:
High school diploma or equivalent; and
One (1) year of previous work experience in a customer service and administrative support related position; or
An equivalent combination of education, training and work experience that produces the knowledge, skill, and ability to perform the essential duties and responsibilities of the position.
Must be able to pass a pre-employment criminal background check.

Strong communication skills, both written and oral, including the ability answer high volume phones and remain calm under pressure.
Adaptability and ability to manage multiple priorities and deadlines.
Ability to maintain confidentiality, and exercise political savvy and discretion.
Ability to work independently, set objectives and determine how to proceed.
Strong attention to detail and accuracy.
Strong computer skills, including Microsoft Office applications and the ability to learn and utilize other applications as needed.
Ability to operate routine and non-routine office related equipment.
Advanced skills in organization, priority setting and administrative coordination.
WORKING ENVIRONMENT PHYSICAL ACTIVITIES:
The essential duties for the position are performed indoors in a standard indoor office/reception area environment.
Physical activities include the ability to lift, carry, push or pull objects weighing up to 25 pounds with or without assistance.
