Position Title Budget and Administrative Coordinator, Information Technology and Libraries
FLSA Non-Exempt
Primary Responsibilities
Reporting to the AVP and working closely with IT and Library leadership, this position is responsible for managing IT and Library operating, capital, grants, gifts, and project budgets. The individual in this position understands the technology and risks associated with contracts and payment. This position will track expenses while forecasting future payments and renewals. This position also assists the AVP , IT and Library leadership with administrative operations and support.
Job Description details:
· The position is responsible for coordinating IT and Library budgets in a strategic fashion allowing for transparency, communication, and efficiency gain. All transactions must be processed in compliance with the University’s policies and procedures.
Request budget changes, submit transfers, approve transactions, and manage payments.
Assess all accounts on a regular basis
Provide high level budget update to IT and Library leadership quarterly.
Identify any budget concerns and recommended solutions.
Ensure timely payment of invoices.
Communicate with vendors as needed.
Consults with administrative offices across campus to ensure that required procedures are followed.
Cultivate contract management with associated IT, Library, purchasing staff, and vendors.
Vendor contact, due date, payment options, technical contact, and University contract processes.
Provide instruction for IT/Library staff relating to budget procedures; serve as liaison to the Business & Finance office(s)
Generate budget reports when necessary.
· Support AVP , IT and Library leadership to manage calendars, agendas, meeting notes, travel, and events.
Ensure efficient and effective management of departmental communication, documents, and project files. This includes highly sensitive communications, documents, and other materials.
Coordinate, plan, and participate in, meetings and events hosted on campus or off-site (either in-person or virtual).
Populate IT academic calendar, appropriate events, and meetings.
Develop and deploy standard office procedures: purchasing, travel and event coordination.
Support search committee process and planning.Perform clerical or other duties as assigned when necessary.
Minimum Qualifications
• High School diploma (or equivalent) required and at least five years of professional experience in an office-based position which required budget management, customer service, organization skills, multi-tasking, significant use of technology, and critical thinking.
• Clear understanding for the need to have a diverse student body and work force, and value for experience working with colleagues from diverse backgrounds.
• Proven analytical and creative problem-solving skills.
• Experience and comfort in resolving minor software and hardware technology issues.
• Well-developed interpersonal skills which enable the candidate to develop positive and productive working relationships across divisions.
• Excellent work ethic and a willingness to take ownership for processes, products, and outcomes.
• Strong written and verbal communication skills.
• Strong computer skills with a desire to continuously learn new skills and advance the use of technology.
• The ability to work under pressure with all clients (e.g. students, faculty, staff, and vendors).
• Ability to identify, prioritize, and respond to significant and sensitive matters that require discretion, confidentiality, and independent judgment.
• Ability to act with initiative, tact, and maturity.

• Confidence in taking a position and communicating issues with IT and library divisional colleagues and management as well as larger campus community.
Preferred Qualifications
Salary $24.00-$26.00 (actual starting rate will be determined by skills and experience and other factors protected by law)
