The Associate Convention Specialist will report to the Strat Meeting Planning Supervisor Arabian Peninsula States (APS) and will be responsible for maintaining and enabling smooth relationships, communication, and processes between and with the respective region, local teams and other EMEA teams. You will work closely with all regional parties and local teams. You will set the framework for your specific region to ensure excellent service levels and proactivity, carefully balancing these interests with efficiency, cost, quality, and compliance objectives.
A Day in the Life
Act as key liaison with other internal departments - Operating Unit Events, Marketing, Training & Education (T&E), Finance, Legal & Compliance, etc.
Manage the lifecycle of events, e-cats, early reservations/registrations, agency fees, no show/cancellation policies, budgets, payments, etc.
Collaborate with the various operating units within Arabian Peninsula States (APS), creating synergies and homogenising processes.
Resolve event management issues at local and regional level.
Manage joint events for EMEA RLM at the respective venue.
Reduce resolution time with stakeholders (vendors, healthcare providers, finance, business units, etc.).
Negotiate contracts and manage relationships with external suppliers.
Manage and respond to complaints from various stakeholders.
Work within the company's customer education budget and maximise the return on the budget.
Ensure the smooth running of direct events organised with the staff of the hotel where the event takes place.
Must Haves
Results and performance driven with a bias for action and a sense of urgency on priorities
Ability to multi-task in a fast-paced environment and prioritise multiple tasks
Ability to work well under pressure and maintain a positive, enthusiastic attitude
Ability to work in a team environment and independently, taking initiative as well as with limited supervision and build strong working relationships.
Ability to share best practice, experience and acquired skills with team members.
Ability to write and communicate in English fluently
