Under direct supervision of the Chairperson, the Assistant will perform a variety of administrative tasks in support of a busy academic department comprising four allied degree programs, each with its own Academic Director. The Assistant will manage the department office; oversee departmental activities; support financial management; provide supervision to departmental staff and interns; and provide admissions support to one of the degree programs.
The Graduate Center for Planning and the Environment, within Pratt Institute’s School of Architecture, is an alliance of four graduate programs: Historic Preservation, Sustainable Environmental Systems, Urban and Community Planning, and Urban Placemaking and Management. POSITION RESPONSIBILITIES:
Departmental Administrative Assistance.
Oversee overall office operations: maintain confidential files; manage databases; schedule meetings; respond to student and faculty administrative needs; initiate and generate correspondence; maintain departmental calendars; etc.
Provide centralized support for administration of interdisciplinary curriculum spanning four graduate programs, including creation of each semester’s course schedule and interfacing with Pratt’s online curriculum scheduling platform.
In collaboration with Chairperson and Academic Directors, manage and maintain department working files and archives, including a database of faculty and student records, control documents, and other academic documents.
Supervise graduate assistants and work-study students; schedule, supervise and assign research tasks to graduate and undergraduate interns.
Serve as liaison to the School of Architecture’s other departments and the Dean’s office in matters of course scheduling and use of building facilities and resources.
Collaborate on planning and support logistics of recruitment events, lectures and symposiums, end-of-semester and graduation celebrations, and other special events.
With input from Chairperson, Academic Directors and the School’s Budget Director, provide budget planning support; coordinate between administrators, faculty, students, and vendors as needed; process budget expenditure requests; and maintain up to date and accurate records of budgets and expenditures.
Perform all other related duties as assigned.
Additional Support for Urban and Community Planning Program:
Organize and maintain updated records of student enrollment statistics, student portfolios, and notifications of acceptance and rejections. Maintain and monitor enrollment records, and preparation of documentation for continuing and international students.
Counsel prospective UCP applicants for proper submission of work and information on departmental programs.
Prepare student transcript evaluations prior to graduation.
