About Assistant General Manager

  The AGM is responsible for working directly with the General Manager andclient to ensure a thorough understanding of its investment objectives and thedevelopment of acceptable property-specific strategic plans and operating andcapital budgets. Once developed, the AGM must oversee the implementation ofapproved initiatives and programs by managing and coordinating the efforts ofthe property team.The AGM may have responsibility for the management, supervision, andprofessional development of other property team members such as PropertyAssociate and/or Tenant Services Coordinator and ensuring 100% compliancewith Jones Lang LaSalle's employee performance program. Additionally, theAGM is responsible for representing JLL in the local and regional business andreal estate community to promote JLL's reputation and capabilities toprospective tenants and clients.Administrative -Supports Brokerage Team in review of lease proposals and lease language and isresponsible for lease administration process.Maintains intimate knowledge of lease agreements and ensures compliance fromaccounting and an Operations perspectiveReviews and approves purchases of supplies and equipment in accordance withclient budgets and established parameters.Prepares annual submissions, for review by the General Manager, for theJLL Property Awards Program and industry awards (e.g., BOMA TOBY award.)Responsible for compliance with development, revision and implementation ofproperty manuals and on-line systems.

  Financial -

  Assists with the preparation and review the annual jurisdictional forms andfilings as required. (i.e. Income & Expense, Real Estate Tax payments,Property Tax fillings, , etc.Works with Client Accounting Services (CAS) to manage the accountingprocess and participates with the on-site bookkeeping functions and collectionprocess. Oversees the development and revision of written accountingprocedures for the office.Prepares and reviews financial documents pertaining to all buildingoperations. These may include, but are not limited to: tenant billingreports, occupancy rates, dates of lease expirations, financialreporting for client and ensures compliance with financial documents. Reportto General Manager any variances, concerns and projections needed to sustainbuilding operations.Assists with the preparation of the annual budget documentation (i.e.,explanatory notes.) Plans and administers budget for the office building(s).

  Operations -Creates and implements the asset management plan.Inspects property and equipment to determine extent of service and/orequipment required. Recommends, justifies, develops, and coordinatesprojects that enhance the value of the office buildings.Works with Building Engineer/Chief Engineer to assign employees to dutiespursuant to client and JLL guidelines.Arranges for alterations to, or maintenance, upkeep, or reconditioningof property as specified in the operating budget, management plan and/ormanagement services agreement.Competitively bids and prepares all service contracts to assure high qualityand cost-effective services. Assembles and analyzes contract bids, andsubmits bids, recommendations, and standard form contract agreement toauthorized signor for execution.Work with Operating Engineer/Chief Engineer to ensure that emergencyevacuation procedures are in place and life safety systems are operatingeffectively and that 4-Sight (JLL's web-based tool for emergencypreparedness) is kept updated on a regular basis.Assists Chief Engineer in meeting the assigned criteria within JLL'sCompliance Excellence Program and Engineering Audit. Assures compliance withJLL policies, procedures and standard practices.

  Tenant / Client Service -Maintains role as primary/secondary contact for tenants relative to tenantservice requests. Proactively meets with tenant representatives on scheduledbasis. Communicates regular y with the Property team, providing necessarysupport and information to this primary tenant contact.Prepares and/or reviews periodic inventory of building contents and propertycondition, and forwards listing to client for review.Inspects all properties on a regular basis to ensure building operations areperforming according to Jones Lang LaSalle standards and procedures.Oversees communication and managemes the tenant move-in/move-out process tominimize disruption to established tenants.

  Management -Employs or contracts for onsite management and engineering personnel, asdelineated within the operating budget, management plan and/or managementservices agreement. Submits hiring recommendations to General Manager forapproManages the development of the Quality Tenant Service ("QTS") program.
