About Assistant Director of Student Organizations and Union Operations AS9602

  Reporting to the Director for Student Development & Campus Vibrancy, the Assistant Director will help lead an integrated unit with primary responsibility for the management of the student experience through leadership within the support of Student Organizations. This position oversees the union operation and programming, student activity fee finance management for student organizations and programming bodies, contract processes, and assists with major student vibrancy event planning on campus. This position provides day-to-day guidance, supervision, and empowerment to both staff and student leaders and directly supervises a large number of student employees for union management, student activity fee budget management, and student organization support. This position will be a champion for engagement and belongingness, empowering students to connect with one another through student organizations and connection within the Carlton Union Building (CUB), creating a welcoming and home-away-from-home in the most central and widely used facility on campus. Supervising the Coordinator for Student Organization Advising and Weekend Programming, this position leads all aspects of the student organization area, setting procedures, policies, and guidelines to enable our student groups to be successful. Creating a vision for student organization engagement and programming is a must.

  ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

  Through a strong student empowerment model, the Assistant Director will:

  Oversees student organizations advising and operations, concentrating on the financial management of student organizations and programming funds on campus and the Carlton Union Building.

  Supervises the Coordinator for Student Organization Advising & Weekend Programming, providing leadership and guidance for the successful implementation and growth of student organizations and programs on campus.

  Oversees the management and operation of the Carlton Union Building.

  Hires, supervises, trains, and evaluates multiple student workers whose responsibilities include management of the Carlton Union Building facility and information desk as well as, student activity fee management for student organizations and programming bodies.

  Collaborates with internal and external stakeholders to remove barriers to and promote campus vibrancy, student governance, and the use of the union building by all students.

  Advises the SGA Finance Committee on an ongoing basis to ensure the fair, equitable, and effective student activity fee allocation processes and procedures, including periodic budget presentations.

  Develops, revises, or maintains financial procedures that are both user-friendly for students and in alignment with the university purchasing guidelines.

  Facilitates purchasing and contract processes for student organizations and student programming bodies.

  Utilizes Engage and Banner information system for appropriate budget tracking.

  Implements a plan alongside the Director and the Coordinator to engage the campus community through recurring small to medium-scale weekend programming through the Carlton Union Building.

  Ensures repair, replacement, and renewal of furniture and facilities in partnership with Purchasing and Facilities Management departments.

  Manages space approval for the CUB and major student spaces surrounding the building.

  Coordinates ongoing communication with partnering departments and units within the CUB (staff offices, Post Office, Book Store, Dining, etc).

  Serves as Building Manager of record for the Carlton Union Building.

  Serves as a team member within the area of Student Development & Campus Vibrancy and works with the Director and team members on large-scale vibrancy events and student engagement initiatives.

  Leads for Home Team coordination during FOCUS Orientation.

  Performs other site and position-specific functions as assigned.

  Required Skills

  Excellent verbal and written communication skills, as well as the ability to develop and maintain effective working relationships with students, faculty, staff, families, alumni, and the public in a comprehensive university environment.

  Work in a highly collaborative environment, advocating for staff and students, and a proven commitment to (and track record of) fostering diverse communities of inclusive excellence as well as an ability to clearly articulate how this commitment fits into both their work and professional philosophy.

  The ability to be flexible in one’s work assignments; communicate clearly and concisely both in writing and oral presentations; plan and organize one’s work; work independently with little supervision; work effectively in a team; manage complex high-level budgets and willingness and flexibility to work some evenings and weekends.

  Have a strong desire to work at a small, private institution committed to a liberal learning environment.

  A commitment and an ability to create effective partnerships and engage students in the learning process through programs and personal contact.

  Required Experience

  Master’s degree in student development, counseling, student affairs, or related field with a minimum of two years of professional experience, however a bachelor’s degree and commensurate experience are required.

  Experience supervising student employees, managing a facility, creating effective processes for customer service, coordinating significant logistics, and experience with budget and financial processes.

  Salary Grade: 5
