In the role ofAppointment Services Supervisor, you will be working in the MedicalCollege Physicians Administration department. You will supervise callcenter staff, including the day-to-day operations, monitorworkflow/calls, ensure coverage, delegate work, provide writtenprotocols and expectations for daily tasks, complete human resourcefunctions including, but not limited to: interviewing, hiring,onboarding, disciplinary actions, performance evaluations, and staffdevelopment. Communicate regularly with clinic leaders of locationsserved by the call center to ensure excellent service is being provided.Keep unit manager informed at all times. Help with special projects andassist the team with call handling and scheduling when needed.Responsibilities: Oversees the daily operations of the centralizedscheduling call center. Supervises staff, recruits for positionvacancies, establishes performance guidelines & standards, conductsstaff performance evaluations, and completes regular training check-insfor new and current staff. Initiates and conducts disciplinary actionsas necessary following organizational and legal guidelines. Ensuresaccuracy, completeness, and timeliness of department work. Communicates,delegates and provides direction regarding work responsibilities andexpectations. Resolves problems, issues, and concerns with patients,department personnel and providers. Investigates, recommends, andimplements process changes and improvements. Develops and implementsdepartmental policies, procedures, and standards. Assists with keepingall resources up-to-date for staff. Reviews and revises as needed.Ensures appropriate staffing, approves timesheets and requests for timeoff, monitors attendance, productivity, quality and overall performanceof staff. Assists in training new staff. Coordinates and conducts newemployee orientation for all incoming staff and holds regular check inmeetings with new staff throughout the training period. Directs teamleads to ensure proper training of staff and completion of all stafftasks. Communicates regularly with team leads and manager of theQA/Training unit to obtain performance and quality data, identifyadditional training needs, as well as coordinate data for performanceevaluations.
