The Opportunity
The AIISP Administrative Assistant plays a crucial role within the American Indian & Indigenous Studies Program, providing general administrative support to the AIISP Associate Director and the program. This position encompasses a diverse range of responsibilities, including program administrative support, event and meeting planning, course support and academic assistance, and communications.
Key Responsibilities:
Program Administrative Support:
Provide general administrative support to the Director, handling public inquiries, and ensuring the smooth operation of the program.Plan and coordinate logistics for events and programs, including registration, scheduling presenters, accommodations, catering, and marketing efforts.Manage the student employee application process and maintain program directories and email listservs.Make travel arrangements for invited speakers, process speaker fees, travel reimbursements, and handle staff travel reimbursements.Utilize Cornell procurement and financial systems to purchase goods and services for the program.
Course Support and Academic Assistance:
Collaborate with the College Registrar's Office to organize and publicize AIIS courses.Prepare master events and faculty schedules, facilitate course descriptions for the catalog, and monitor course enrollments.Reserve classrooms/lecture halls and assists with coordination of the AIIS 6010 Speaker Series.Assist the AIIS Director of Graduate Studies (DGS) and Director of Undergrad Studies (DUS) with student records, data, and other administrative tasks to support recruitment and promotion of the AIIS minor.
Communications Support:
Oversee the inclusion of new information, layout, and scheduling of the weekly newsletter.Produce and circulate event and course flyers/announcements through AIISP website, newsletter, social media, and other platforms.Maintain and contribute to program communications, including website pages, social media pages, and displays.Supervise student Office Assistant employees providing communications and other support.

An associate's degree and 2-4 years of related experience, or an equivalent combination of education and work experience.Excellent communication and organizational skills with the ability to prioritize multiple projects.Proven track record of successfully providing excellent customer service.Interest and ability to learn how to use new software and leverage technology to improve efficiency and organization.Ability to work well with others while creating a highly respectful work environment.Demonstrated sound judgment, creativity, and problem-solving skills.Demonstrated ability to work effectively both independently and as part of a team.Must excel in maintaining a professional atmosphere while working in a busy environment.Proficient with standard business software systems including but not limited to Microsoft Word, Excel, PowerPoint, and Outlook.Ability to handle confidential information.Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.

Experience with additional software, including DUST, PeopleSoft, CCI ACALOG, E-SHOP, Adobe Creative Suite including InDesign, Canvas.Coursework in Native American or Indigenous history/American Indian Studies, and/or familiarity with Native cultures.
