Job Description:
This position will serve as an Admissions Officer I for the Distance Education Support Services Team which is situated within the College of Pharmacy at the University of Florida. The DESS team facilitates every step of the student lifecycle/academic journey, beginning from pre-admission and culminating in graduation for students housed in the College of Pharmacy and Medicine. This position will assist with coordinating admission of students to educational programs within the College of Pharmacy and Medicine: review documentation of graduate, and/or transfer students to ensure completeness of applications. Monitor progress of applicants; coordinate processing, mailings, and other related documentation. Interact with prospective students, counselors, and academic units; support recruitment activities; assist with the application review process.
Job Duties Include
Application Review and Admission of Newly Admitted Students:
Conducts a comprehensive review of documentation submitted graduate, and/or transfer students to ensure the completeness of submitted applications. Effectively communicates with applicants, offering guidance on missing and/or required documents. Actively monitors the progress of applicants in alignment with established timelines set by the College and/or Graduate School.
Collaborates closely with the program director and/or support staff to assess whether an applicant meets the criteria for acceptance or should be denied entry into the program. Facilitates the processing of applications, manages mailings, and handles other relevant documentation. Utilizes UF's system to process admission decisions for master’s, certificate, and non-degree students. Issues acceptance letters along with comprehensive start-up informational packets to admitted students. Collaborates with team members and program leadership to propose and implement new procedures or enhancements to existing ones, ensuring the effective administration of this support service.
Demonstrates a professional demeanor and effective communication style, as the incumbent will engage in phone and email communication with prospective students and stakeholders internal and external to the College of Pharmacy. Additionally, maintains collaborative communication with various academic units, both internal and external to the College of Pharmacy.
Student Enrollments and Course Registration:
Handles the facilitation of online registration for newly admitted and current students. Processes student registrations within UF’s system and ensures timely submission of fee waivers to the Financial Affairs office. Actively monitors and verifies student progress toward the completion of graduate certificates or master’s degrees, ensuring adherence to required deadlines and confirming that students are on track.
Collaborates with team members and program leadership to suggest and implement new procedures or enhancements to existing ones, ensuring the effective administration of this support service.
Additional Duties to Support DESS:
Monitors students’ academic progress, transfer credit requests, changes in student status, petitions, student drop/add, any other student support needs related to application and/or registration. Collaborates with team members and program leadership to propose and implement new procedures or improvements to existing ones, ensuring the efficient administration of this support service.Primary Point of Contact for Prospective and Admitted Students:
Serves as the primary point of contact for inquiries from both prospective and current students. Delivers prompt, accurate, professional, and efficient communication via phone and email, specifically for all COP online and DESS auxiliary programs. Expected Salary:
Up to $42,000 annually

Minimum Requirements:
Bachelors degree; or an equivalent combination of education and experience.
Preferred Qualifications:
Excellent customer service skills.
High-level computer and technical literacy including ability to learn new web-based applications such as Salesforce CRM, PeopleSoft, and other UF-related apps and systems.
Experienced in Microsoft Office and Adobe.
Relevant UF experience in admissions and registration preferred but not required.
Experienced in working with students and tolerant of frequent interruptions by telephone calls, emails, and in-person inquiries.
Ability to foster and maintain good relationships with all stakeholders including applicants, students, co-workers, faculty and core UF offices.
Excellent communication and analytical skills.
Able to maintain strictest level of confidence regarding academic matters and comply with FERPA, state of Florida, and University rules regarding disclosure of academic information.
Ability to work under deadlines, adapt to changing environment, and handle multiple priorities.
