Job Description
We are seeking an enthusiastic Administrator to join our Brisbane team on a full-time permanent basis. The Administrator provides a high standard of office management and secretarial support to all team members and Brookfield Properties staff as required.
Reporting to the Executive Vice President, Build to Rent, this role will have an understanding of all upcoming deadlines and will prepare and assist staff to ensure that targets are met. They will have a comprehensive understanding of the Team’s business and a sound knowledge of all Operations and Development Projects, to assist the team to meet the business objectives.
What will you be responsible for?
Reconcile Corporate credit card expenses
Entering expense reimbursements for team members
Manage budgets for allocated General and Administration expenses (corporate functions etc)
Direct support for the Brookfield Properties Portside office including:
Calendar Management
Planning and organising corporate functions
Other tasks as directed
Support for Brookfield Properties Staff including:
Business travel & accommodation
Reconcile Amex/corporate/project expenses
Submission of monthly reports via Concur
Managing Coupa Supplier set ups
Entering of supplier invoices
General administrative duties include but not limited to:
Compilation of correspondence as required e.g. letters, reports, presentations and memoranda
Catering for meetings
Binding
Printing reports
Scanning and filing of documents
Arranging Couriers
Organising functions
Temporary Reception relief as required
Assisting with on boarding new staff
Management of the office
Maintain the general filing systems
Tracking and processing of important documents
Assisting Facilities Manager with office duties
Direct support to Operational (Centre Management) team
Lease Administration
Entering new lease deals into Sugar
Requesting sales figures from retail tenants
Assist Senior Property Manager with tenant management and essential duties and tasks
Attend Operation team meetings
IT Management:
Act as the first contact for staff IT issues. Providing initial troubleshooting and support. Ensuring IT issues are communicated to IT support and ensure appropriate action is made.
Coordinate weekly IT visits
Corresponding with IT team at Head Office
Monitor life cycle of Brisbane office IT equipment and order as necessary
Work with IT and Vice President | Finance on IT projects that affect the Business unit.
Office Management including:
Procurement and maintenance of office furniture and IT equipment
Ensuring that office consumables and stationary stocks are maintained
What experience, skills and qualifications will you possess?
1-3 years of Administration experience
Experienced with all Microsoft Office Suite packages to a medium to advanced level.
Time management skills.
Ability to work efficiently and effectively in a dynamic team environment.
Ability to treat all matters of the business as confidential
High attention to detail
