JOB DESCRIPTION AND POSITION REQUIREMENTS:
Penn State’s Office of Foundation Relations (OFR), within the Division of Development and Alumni Relations, is seeking a candidate in playing an integral role in one of the most respected and successful university fundraising operations and contributing to the land-grant mission and future strength of Penn State. The Administrative Support Assistant will conduct administrative work in the fast-paced, dynamic OFR whose development officers collaborate across the University and externally to raise funds from independent foundations. This position is based on-site at Penn State’s University Park campus.
This position will assist with administration, coordination, and tracking requests for proposals (RFPs), working with Limited Submissions to post foundation funding opportunities, and, where appropriate, also post to listservs. The role requires collaboration with various offices to document and process gift deposits, complete wire transfers, notify departments of donations; route and track forms for signature, and proofread and edit written materials. Additional duties include tracking and recording foundation awards which can require paperwork review to identify the correct coding, completing wire transfers, coordinating OFR staff travel arrangements, maintaining calendars and meeting scheduling, processing expense reimbursements, and monitoring budgets. This position will perform data entry and work with multiple databases, including Advanced Web (AWA), SIMS ( Strategic Information Management System) , InfoReady, and foundation research platforms. A strong history of organizational, multitasking and prioritization skills is preferred. A candidate with an understanding of gift/grant recording policies and procedures is preferred. We are looking for an experienced administrative professional who will act as the IT liaison, maintain a high level of accuracy in work, and pay close attention to detail. Proficiency in Microsoft MS Suite (including SharePoint), Zoom/Team, email, and the ability to become proficient with Division of Development and Alumni Relations information systems and databases will be key to success.
The successful candidate must possess exemplary interpersonal and communication skills, demonstrate a genuine appreciation of working with diverse internal and external audiences, and be capable of maintaining confidentiality. Understanding fundraising functions and processes, flexibility, and the capacity to be a fully engaged member of a highly collaborative team is critical.
Typically requires a high school diploma or higher plus two years of related experience, or an equivalent combination of education and experience. This position will require successful completion of standard background checks.
