Job Description:
General Responsibilities:
Performs administrative and general office duties of a responsible and confidential nature in support of the Construction Materials Department, primarily with the incoming Dispatch Line and working within the company's proprietary scheduling and reporting software. Schedules and maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements. Routes or answers routine inquiries. Maintains files, department office supplies and mail. Prepares special reports. Gathers and summarizes data. May be assigned to various functional areas of the company. Assists other administrative personnel. Position is onsite.
Essential Roles and Responsibilities:
Answers telephones, screens calls and forwards messages.
Communicate effectively with clients and collect information accurately to create work orders.
Provide quality customer service and respond to inquiries/requests for service in a courteous manner.
Create, maintain, and monitor daily schedules for dispatching to our technicians; modify and update schedules.
Relay accurate information to technicians, ensuring proficient, quality customer experiences.
Manage the needs of our technicians in the field.
May handle calendaring, travel arrangements and coordination of day-to-day activities
Provide general administrative support to the Materials department and/or group of professionals of a basic and routine nature.
Assist other administrative staff in various office duties as required.
Type correspondence, documents and spreadsheets. Input data into databases.
Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
Be responsible for maintaining quality standards on all projects.
Ability to Multi-task in a fast-paced environment – sometimes hectic during heavy workload
Requirements:
High school diploma or equivalent.
Limited experience performing office support activities.
Proficient computer skills, including Microsoft Office and Teams.
Strong verbal and written communication skills.
Working knowledge of general office equipment.
Valid driver’s license with acceptable violation history.
