The University of Maine Fort Kent is seeking to fill the position of Administrative Support Specialist CL2 in the Switchboard/Mailroom/Campus Store.
The Administrative Specialist is responsible for the operation of the switchboard and mailroom, as well as providing support to the campus store. Support to the campus store will include retail clerical duties related to selling, stocking, and inventory management of the University’s retail operations. This position provides assistance to patrons in the store, over the phone and online. The position requires solid verbal and written communication skills, good judgment, and the ability to work independently.
Duties Include:
Answering phones and redirecting calls as well as managing message changes during school closures
Sorting mail, notifying faculty/staff/students of packages, shipping packages – FedEx, UPS, USPS
Managing mailroom machine and postage purchases
Managing most University cell phones
Maintaining campus phone list and distributing via email as needed
Operating cash register and daily reconciliations, opening cashiering, submitting journal entries
Organizing store/stocking shelves as needed
Updating booklists on website (working with faculty and ecampus)
Uploading financial aid vouchers to student accounts
Processing/paying invoices in Marketplace
Ordering store inventory, including communications with vendors – design, quantities, approvals, etc.
Assisting with scheduling of workstudy students and backup approver for hours (as necessary)
Assisting during inventory counts, book buybacks, special projects, special occasions, etc.
Managing social media platforms
Other duties as assigned
The starting rate is $18.22 for a new hire or the appropriate transfer rate for a current employee within UMS per the current ASCUM bargaining agreement. In addition the University will contribute up to a 4% matching contribution to the UMS retirement plan. Additional benefits include medical, dental, retirement and tuition waiver programs for employees and dependents. Qualifications:
Required:
High School Diploma or GED and a minimum of two years in an office or retail setting performing various tasks that include customer service and computer software applications.
Strong organizational, interpersonal and communication skills.
Preferred:
Customer service experience.
Experience performing a wide range of tasks and working with minimal supervision. Experience in an academic setting helpful.
Knowledge of Mainestreet Marketplace or similar programs.
Qualified applicants must demonstrate:
Knowledge of office management systems and procedures
Working knowledge of office equipment
Proficiency in MS Office (MS Excel and MS Word, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
