Minimum Qualifications Candidates must be currently employed by New York State to be eligible to apply for this position. Duties Description The New York State Office of Mental Health (OMH) is seeking a candidate for a Administrative Specialist 1, G-18, position in the Office Of State & Local Operations, Direction. Duties of these positions include, but are not limited to:• Ensure adherence to agency policies and procedures, set work priorities, oversee written correspondence and meeting/event scheduling, ensure appropriate office coverage (extending to the 5 OMH Field Offices), and work on special projects assigned by the Deputy Commissioner.• Plan, coordinate, supervise, and execute staff work in the Deputy Commissioner’s office, including generating correspondence for the Deputy Commissioner, meeting with agency staff as needed to seek clarification of issues and/or facts presented, and handling and disposing of confidential correspondence and records. Field concerns from a variety of individuals and groups and involves the appropriate division or bureau head. Schedule and coordinate all logistics for meetings at main OMH site and other locations across the State. • Coordinate Field Office Directors Meetings: scheduling, collecting agenda items, coordinating presenters, collecting/preparing materials, setting up/monitoring webex or other virtual options. • Manage inquiries and requests, including requests for meetings and speaking engagements, and travel arrangements. Oversee maintenance of the Deputy Commissioner’s detailed calendar. Ensure all paperwork associated with calendar events and travel arrangements is completed accurately and timely. • Provide training/guidance to administrative assistant/support staff within the division, to ensure accurate and timely processing of correspondence, meeting requests, travel arrangements. Provide training/guidance to clerical staff on procedures surrounding the day-to-day activities of the office, including fielding phone calls, scheduling/hosting meetings, the use of WEBEX/conference room technology, travel arrangements, and other routine tasks. Coordinate and/or provide back up support for field office administrative support staff.
Additional Comments The salary listed applies to candidates appointed to Administrative Spcialist 1, SG-18. The salary for candidates appointed to Administrative Specialist Trainee 1 starts at $47,925 and, for current New York State employees, is based on the candidate’s salary at the time of hire. Specific scheduled hours and telecommuting availability for this position will be discussed during the interview process.
