Job Description:
The Department of Biochemistry and Molecular Biology is a basic science department in the College of Medicine, University of Florida. The department has three centers, the Center for Structural Biology, Center for Epigenetics, and the newly established Center for Advanced Spatial Biomolecule Research.
This position is responsible for the coordination of the Department of Biochemistry and Molecular Biology’s facilities operations. Reporting to the Director of Administrative Services, this position’s duties include management of purchasing, assets, and facilities operations. This position will also serve as a back-up and assist with other departmental operations related to fiscal, education, and research.
Department Facility and Lab Operations
Manages and resolves day-to-day facilities and lab equipment issues.
Works closely with Environmental Health & Safety to ensure compliance with federal, state, and university regulations.
Directs building occupants regarding facilities/lab operations in the department to ensure facility is properly maintained and building, lab, and office assets are appropriately provided and assigned.
Input and track work orders, serving as a liaison with UF Facilities and/or vendors of services to ensure work is completed in a thorough and timely manner. Work with accountant and director on invoice and payment reconciliation.
Periodically perform a building inventory to routinely identify necessary repairs and deferred maintenance.
Assists in the development of long-term department facility plans.
Coordinates the set up and closing of lab spaces. Ensures compliance with federal regulations for hazardous waste disposal.
Assist with completion of the annual space survey, working collaboratively with Director and Chair to ensure spaces are correctly categorized and usage accurately represented.
Facilitates and manages the preparation of office spaces: installation of telephones, computers and network printer connections, working with the appropriate office.
Serves as the backup Building Emergency Coordinator.
Assists in maintaining and updating departmental emergency plan.
Procurement
Research, order, and receive supplies, furniture, and equipment.
Verifies and enters funding sources on all requisitions.
Assists and advises faculty members in obtaining chemicals, supplies, and equipment.
Facilitates IT equipment ordering, installation, and set-up with UFHealth IT Services.
Acts as liaison between disbursements and the department with regards to vendor maintenance.
Maintains contact with commercial vendors by telephone, email and mail.
Serves as a liaison between the University Procurement Office and department personnel.
Contracts work with vendors as necessary to accomplish maintenance priorities. Identify, prioritize, approve scope of work, and tracks deferred maintenance and projects. Works with UF Facilities on projects.
Back-up to Fiscal Assistant in their absence for receiving and delivery of packages.
Asset Management
Advises department on requirements for property control.
Oversees processing and tagging of University assets.
Handles repair and maintenance requests for laboratory equipment.
Coordinates and assistant with the relocation, transfer, and disposal of accountable assets and surplus property.
Recommends disposal and/or replacement of fixed assets.
Oversees and assists with annual fixed assets inventory.
Audit telecommunications and IT charges based on assets/live ports.
Monitors Peer2Peer list-serve for any equipment that departmental faculty may acquire.
Admin Back-Up
Assists Administrative Support AST III as needed in regards to management of communications and scheduling related to seminars, research presentations, booking conference rooms.
Assists Director and Administrative AST I as needed with research proposals and travel.
Expected Salary:
$18.00 - $23.00 per hour; commensurate with education and experience.
Minimum Requirements:
Bachelor’s degree; or an equivalent combination of education and relevant experience.
Preferred Qualifications:
Bachelor’s degree in an appropriate area and two years of relevant experience.
Ability to use Microsoft Office applications; including Outlook, Excel, and Word.
Experience in PeopleSoft Procurement.
Ability to understand and apply applicable rules, regulations, policies and procedures relating to procurement, fixed assets and hazardous materials.
Ability to work independently.
Knowledge of NIH and other granting agency rules and regulations.
Knowledge of medical research equipment.
Knowledge of UF Space Reporting.
Must possess strong verbal and written communication skills.
Must possess critical thinking analytical and problem-solving skills.
Must understand and practice excellent customer service.
Must be able to work well in a team environment.
Take ownership of the resolution of problems, be flexible and accountable, manage conflicting responsibilities, prioritize tasks, and consistently meet deadlines.
