  What you’ll be doing:

  · Support Supply Chain Planning, Projects, Procurement, Quality, S&OP, and Environmental Health & Safety Project Managers and Leadership with Administrative Functions. Create P.O.'s and process associated invoices through Coupa and ensure no delinquent accounts or project execution delays.

  o Assist PM’s with requesting quotes from Staples authorized vendors.

  o Provide support for the Coupa process by performing as well as guiding PM’s and vendors through data entry of requisitions and invoices.

  o Work with PM’s and vendors to ensure timely processing of invoices.

  o Engage vendors with questions or concerns related to their quotes or invoice status and reconcile discrepancies.

  o Research aged invoices.

  o Onboard new vendors as needed.

  o Archive and maintain invoice information in database for easy research as needed.

  o Support continuous improvement efforts and emphasize excellence with internal and external customer support.

  · Provide capital asset reports to Project Managers both monthly and on an as-needed basis.

  · Assist with ad hoc Inventory & Procurement reporting/tracking.

  o Submit and track EOL responses from Merchants/FC compliance to dispositions.

  o Assist with large order monitor/tracking of inventory position and readiness.

  o Assist with network commodity purchase tracking to ensure compliance with annual contracted thresholds.

  · Review project close documentation for completeness. Work with project managers and vendors to close any gaps in the data. Enter research and project close information into SCPPP database and maintain it's accuracy.

  · Run queries/prepare reports to respond to requests for information and support facility design/project management efforts. Gather and file documents in online library to supplement database.

  · Support expense management for team by vetting policy compliance and being first review for all submittals.

  · Ad hoc assignments as required including material gathering support for regular Supply Chain All Hands Forums.

  What you bring to the table:

  · Excellent data entry skills and attention to detail.

  · Ability to strategically prepare and plan daily activities to ensure that all essential tasks are completed.

  · Knowledge of Microsoft Excel, Access, Oracle, and Coupa.

  · Excellent organizational skills.

  · Ability to handle multiple tasks simultaneously and work independently.

  · Excellent listening skills and ability to gather information to obtain a comprehensive understanding of customers’ needs.

  · Excellent communication skills

  · Ability to relate to people in an open, friendly, accepting manner and is motivated to build positive relationships with peers, managers, and customers.

  · Ability to maintain an appropriate level of composure and patience under challenging circumstances

  Qualifications :

  · 2+ years of related work experience
