  As an Administrative Coordinator, you are responsible for processing all invoices for payment, processing purchase orders, preparing reports, and other administrative/clerical support functions, as directed. In addition, you will support administrative and employee engagement functions in the plant’s Workforce Development department.

  Primary Responsibilities

  · Prepare invoices for processing by matching invoices to corresponding purchase orders (materials), coding to appropriate accounts, and entering into NVR’s payables system.

  · Act as petty cash custodian and back-up field check custodian, responsible for disbursement per company guidelines.

  · Maintain contract/lease start and end dates.

  · Order office supplies, within budget parameters, distribute incoming mail, and collect and send outgoing mail and parcels.

  · Review insurance compliance reports and distribute financial reports.

  · Manage small office accounts, such as vending accounts, as assigned.

  · Process approved MRO purchase requisitions, generate MRO purchase orders and receive orders in the system.

  · Plan and conduct new employee orientations and process all necessary paperwork through NVR’s payroll and benefits department.

  · Ensure accurate and timely completion of weekly hourly payroll data. Prepare management reports and respond to leadership requests and inquiries related to Kronos and Payroll.

  · Provide local Human Resources support for hourly plant employees, including but not limited to PCNs, employee questions and requests, communication of policies, leave of absence administration, benefits open enrollment, policy signoffs, pay statements. Coordinate with corresponding corporate Human Resources or Workforce Development contacts.

  · Maintain accurate, complete, and confidential employee records and files. Ensure compliance with all NVR policies and procedures and state and federal regulations.

  · Support timely processing and tracking of hourly production employee evaluations and provide necessary information to supervisors, for accurate completion.

  · Assist with other administrative tasks and cross-train in other departments, as needed.

  Qualifications

  Bachelor’s degree preferred.

  2+ years of administrative experience

  · High level of attention to detail

  · Strong interpersonal and communication skills

  · Must possess strong organizational, planning and time-management skills.

  · Reliability and initiative to be able to work effectively in a fast-paced, professional team environment.

  · Results driven with the ability to adapt to changing priorities.

  · Willingness to learn new things and cross train in other departments.

  · Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
