The administrative assistant performs various administrative support duties to assist the Volunteer Engagement team with planning, implementation, evaluation, project management, tracking, reporting, and meetings.
ESSENTIAL RESPONSIBILITIES/DUTIES :
Provide day-to-day administrative support that includes answering calls and responding to emails, coordination and scheduling department meetings, trainings and events, maintaining files and documents, and assisting with meeting and event setup and scheduling.
Communicate and liaise with volunteers, department and council staff and teams to support and provide information regarding department activities, events, or requests.
Maintain and update department/team databases, website page(s) and systems, and generate reports and records.
Assist in the preparation of department documents and materials, supplies and equipment.
Assist with the coordination, tracking and scheduling of marketing campaigns materials and posting requests and provide data on response rates.
Maintain working knowledge of department and organization’s programs, resources, and procedures; serve as a resource for volunteers and members.
Complete special projects to assist with department and team goals and objectives.
Performs additional duties as assigned to assist in fulfillment of the council’s mission and goals.
At least two (2) years of experience as an administrative assistant, preferably in a fast-paced environment.
High school graduate or equivalent; college degree preferred.
Bilingual in Spanish is a plus
Strong computer skills specifically in the use Microsoft Office Suite
Ability to work well under pressure and perform multiple tasks simultaneously with frequent interruptions; effective time management skills, excellent organizational skills, and the ability to establish and maintain priorities and meet deadlines.
Attention to detail and exceptional follow-through and follow-up skills.
Adaptable to shifting priorities; ability to adjust to new circumstances with minimal notice and guidance
Possess a high level of professionalism and integrity with the ability to maintain confidentiality of information and data.
Able to work occasional evenings or weekends

Valid drivers’ license, proof of insurance, and access to reliable transportation. Daily and/or occasional travel may be required.

The pay range for this position is $17.00 - $18.25 per hour.
