JOB REQUIREMENTS: Position Description: As an Administrative AssistantSr in Cardiothoracic Surgery you will perform routine and advancedadministrative duties requiring considerable skill and in-depthknowledge of organizational policies and procedures, under generaldirection. Primary Functions Schedule/reschedule patient appointments,diagnostic tests, and surgical procedures efficiently and effectively.Obtain or update existing patient registration information andreferrals, as needed. Preform pre-certifications and pre-authorizationsin accordance with insurance company guidelines. Maintain HIPAAconfidentiality of department and patient data. Triage patient andprovider phone calls. Answer and relay telephone calls, resolve routineinquiries and take appropriate messages. Use discretion in theinformation provided. Exercise good customer service. Obtain outsiderecords, including visit notes, operative reports, and test results.Anticipate and initiate action regarding administrative functions whilecoordinating and leading projects. Review, coordinate, and maintainOutlook calendar with current administrative and clinic scheduleinformation. Collaborate with other administrative and clinical supportstaff and providers. Coordinate schedules, meetings, appointments, andtravel itineraries and related arrangements. Compose correspondence asneeded, which may contain confidential information. Proofread and formatdocuments to ensure accuracy, proper grammar, and professionalcommunication. Use complex functions of a variety of computerapplications and software packages. Assist in processing paymentrequests, requisitions, and invoices. Responsible for schedulingdivision and other meetings to support division functions. Distributemail and organize filing systems accurately maintaining records.Maintain office equipment such as changing toner, photocopier, and faxmachine. Other duties as assigned.
