  Reference #: 839629Position: Administrative AssistantLocation: Philadelphia OfficeRoles and ResponsibilitiesOfficeReception and phone coverageOrdering of supplies for any jobsites not currently handled by job staff.Keeping tabs on all office supplies and replenishing when needed.Communication with Building Management. Re: any building issues, cleaning staff, etc.Sorting and distribution of mail. Ensuring that any jobsite mail is sent out to the sites or inquire if a staff member is going to the site or someone from the site can stop in the office.Fedex/CourierUpdating office directory and job list regularly and it needs to be sent out to staffHill Archiving for office and jobsites (except Purchasing)Calling for office copier repairs when needed. Updating employee email addresses for new staff and employee turnover on office copiers.Ordering of lunches for meetings with Dan's approvalMaintaining the conference rooms schedulesEntering visitor information into the building portal.InsuranceInsurance Updates and making sure renewals are sent for the projects from each subcontractor for each corporate GL projectKeep on top of projects and when renewals are needed prior to accounting inquiring due to compliancy.  This includes updating renewal dates in CMICFor CCIP projects, update log and CMiC once compliant COI is receivedAccountingCheck DepositAccounts PayableGet a list of the invoices that are emailed directly by the vendor and change to your email. Then sort and distribute to the appropriate Proj. Manager for approval. (can be done via e-mail)If data entry of any invoices is needed, please assist accountants.Additional Administrative AssistanceAssisting the Marketing Department when needed.Project Execs - if a project executive needs assistance with anything please make yourself available to assist when possible.This includes, copying, spreadsheets, or any administrative assistance they may require.Be proactive, ask other internal departments if they need helpOther duties as assigned.Hunter Roberts Construction Group is an Equal Opportunity/Affirmative Action employer.
