Description
We are seeking a highly organized and skilled Administrative Assistant to join our team. The successful candidate will play a crucial role in providing exceptional customer service to both internal and external stakeholders. This position requires a candidate with strong organizational skills, attention to detail, and proficiency in administrative tasks.
The Administrative Assistant will be responsible for various duties, including maintaining accurate records, scheduling, and supporting the superintendent and project manager in day-to-day operations. The ideal candidate will exhibit excellent communication skills, a proactive approach, and a commitment to maintaining confidentiality.
Key Responsibilities:
Mail Management: Reads and routes incoming mail, attaching appropriate files to be addressed by the supervisor.
Record Keeping: Assists in maintaining accurate records related to the superintendent’s progress toward board-identified goals.
Communication Support: Takes dictation, transcribes notes, composes, and types routine correspondence.
Organization: Organizes and maintains the file system, filing correspondence, and other records for the superintendent and project manager.
Scheduling: Coordinates the supervisor’s schedule, makes appointments, and arranges travel schedules.
Visitor Management: Greets visitors, conducts them to appropriate areas, and handles inquiries.
Meeting Coordination: Arranges and coordinates meetings, prepares agendas, records minutes, and manages meeting documentation.
General Support: Performs secretarial duties, conducts research, compiles/types statistical reports, and assists with budget maintenance.
Requirements
Qualifications:
Associates degree or equivalent from a two-year college, business, or technical school; or two to three years of related experience and/or training; or an equivalent combination of education and experience.
Ability to read and comprehend complex instructions, correspondence, and memos. Ability to write correspondence.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
Proficient use of Microsoft Office programs, especially in Excel and Word.
