General Description
York College’s Continuing and Professional Education Center (CPEC) provides educational, workforce training, recreational, entrepreneurship and personal enrichment programs and courses to residents of Southeast Queens and neighboring communities. CPEC offers innovative non-credit courses and certificate programs in Health, Business and Technology.
Position Overview
Reporting to the CPEC Director, York College seeks an Administrative Assistant for its Workforce Step-Up Program (WSUP). Must possess skills necessary to recruit, enroll and monitor students registered for non-credit certificate courses. Responsible for managing student-level information in the Xenegrade database utilized by CPEC for course registration, attendance tracking and completion certificates in compliance with college, departmental and funder-mandated reporting policies. Serves as the primary liaison for students from point of application through course completion.
Other Duties
The Workforce Step-Up Administrative Assistant will be responsible for the following duties:
Assist with student recruitment and enrollment into WSUP courses.
Host a monthly Virtual Open House providing resource information for prospective students.
Review student applications and provide routine communication regarding course logistics (i.e. meeting dates/times, location, Zoom meeting links, etc.).
Ensure student enrollment folders are complete, including copies of identification, documents and case notes.
Respond to inquiries from internal and external partners regarding all aspects of WSUP.
Engage in data management and data entry activities related to Xenegrade and WSUP program deliverables.
Collaborate with Information Technology (IT) Division to develop technology loaner process for students in need of computers and reliable internet service for online classes.
Collaborate with CPEC Director to prepare end-of-project report detailing WSUP deliverables and outcomes.
Other duties as needed.
Qualifications
Core Competencies:
Associates Degree or higher
Results-oriented professional who has a minimum of two (2) years of experience working with diverse populations in an educational capacity
A minimum of two (2) years’ experience performing responsible related work; AND possession of the core competencies determined to be required at the time of hire
Must be available to work some evenings and occasional weekends.
Must attend any required Xenegrade trainings.
Qualifications:
Ability to work independently and collaboratively, carry out complex assignments in a timely manner, adapt to changing situations and priorities.
Experience assisting with grant proposals, developing and maintaining spreadsheets and preparing reports highlighting program deliverables.
Possess excellent interpersonal, communication, organizational time-management as well as strong work ethic and commitment for success.
Possess strong writing skills.
Ability to analyze data for continuous program improvement.
Compile data for report submission.
Computer skills should include MS Office suite (Word, Excel, Access PowerPoint)
Familiar with using Zoom, MS Teams for meeting facilitation.
Familiar with Blackboard and Brightspace learning management systems (LMS).
Completes work within established deadlines.
This is a grant-funded position and contingent upon availability of grant funds.
