UW Tacoma has an outstanding opportunity for a 100% FTE Administrative Assistant 2 . This is a shared position, 50% with the School of Education and 50% with a team for a $2 million dollar Asian American and Native American Pacific Islander Serving Institution (AANAPISI) grant titled “AAPI THRIVE: Tacoma Husky Retention and Inclusive Vision of Excellence Project" that is housed as a special initiative under the Office of the Chancellor. The AAPI THRIVE Project is led by Principal Investigator Rachel Endo (Professor and Dean, School of Education); Project Director Nestor Enguerra Jr; and Co-Principal Investigators Cassie Miura (Assistant Teaching Professor in the School of Interdisciplinary Arts & Sciences and Director of Grants & Special Projects, Office of Equity & Inclusion) and Tanya Velasquez (Associate Teaching Professor in the School of Interdisciplinary Arts & Sciences and Faculty Development Associate, Office of Equity & Inclusion). Please note: the Dean of Education and Principal Investigator are the same person.
This position will report directly to the AAPI THRIVE Project’s Project Director and the School of Education’s Office Supervisor with accountability to the Director of Operations in the School of Education. This position also has accountability to the AAPI THRIVE Principal Investigator.
The ideal candidate will be able to manage multiple deadlines, priorities, and projects independently, is detailed-oriented, is able to consistently produce high-quality work, is highly organized, has strong communication skills, and is a self-starter who is able to work independently and as part of a team.
DUTIES AND RESPONSIBILITIES Daily Operations Support
Welcome guests, including students, faculty, staff, and community partners, to the AANAPISI Center and School of Education, ensuring they are directed to the appropriate building or person.
Provide daily front-desk reception to those who email, call, or enter the office; answer questions in a timely manner and provide accurate information as requested.
Maintain and organize internal records for the AAPI THRIVE Project and School of Education’s Office of the Dean.
Schedule meetings and space, order food as needed through preferred vendors and following university policies.
Maintain and organize multiple calendars for scheduling events and meetings, including with external partners and their schedulers.
Create and maintain organized filing systems, both electronic and physical.
Onboard and offboard new staff, student workers, and volunteers, including coordinating with appropriate staff across campus.
Manage the onboarding of student workers and interns to orientate them to time and effort reporting in Workday; support with the onboarding other faculty and personnel.
Assist the AAPI THRIVE Project Director and Director of Operations in the School of Education with the collection of hiring paperwork for new employees, including affiliate faculty, program staff, and student workers, when requested.
Assist the SOE Office Supervisor with quarterly faculty requests and submissions.
Use confidential, independent, and sound judgment to serve as the first level of support when stakeholders have concerns or questions, handling challenging and complex issues with humility and sensitivity.
Update and maintain office policies and procedures, including making recommendations to improve delivery of services and efficiencies.Event Planning and Marketing
Co-lead or lead the coordination, planning, and project management of activities, events, and meetings.
Manage communications with multiple stakeholders and support the grant’s Project Leadership Team and School of Education’s Office of the Dean in disseminating information through web-based platforms, newsletters, social media, and print; prepare communications, such as memos, emails, reports, and other correspondences.
Support the management of committees or meetings, including creating agendas, taking accurate/detailed notes/minutes, and organizing documents for records retention.
Take the lead on scheduling, marketing, tracking RSVPs, and answering general questions for sponsored events and meetings, securing accommodations requests with UW Tacoma’s Disability Resources.Budget and Data Support
Establish and manage program files and record keeping systems in accordance to established record retention cycles.
Assist with the tracking and maintenance of accurate and detailed records for expenditures, revenue, and other financial records; includes analyzing records and trends, notifying the leadership of any errors and irregularities.
Create or help edit/format reports as requested.
Responsible for processing, invoicing, and tracking service contracts.
Monitor and order equipment and office supplies, and make other approved project purchases, in compliance with the funder’s and UW policies.
Query UW databases (SIS, BI Portal, Keynes) to respond to requests for information, and proactively reach out to other offices on campus to support accurate and timely data collection.
Maintain project databases, listservs, and other online systems with accurate and updated information.
Perform other duties as assigned. MINIMUM REQUIREMENTS High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience. ADDITIONAL REQUIREMENTS
Strong experience with Microsoft Office tools, especially Word, Excel, Outlook and PowerPoint.
Ability to quickly learn new processes and technologies to meet business needs.
