  Summary

  Michigan Medicine is seeking an Administrative Assistant- Senior for the Orthopaedic Surgery and Physical Medicine & Rehabilitation clinics. The primary mission of the Orthopaedic Surgery and Physical Medicine & Rehabilitation clinics is to provide timely, high-quality, evidence-based, empathetic care to a population of diverse patients while also upholding the academic mission of Michigan Medicine through the education of medical students and residents. We are seeking a compassionate, enthusiastic, and self-driven Administrative Assistant to provide operational support to these Ambulatory Care Units.

  As an integral member of the Orthopaedic Surgery and Physical Medicine & Rehabilitation team, you will play an important role and share our priorities which include high quality medical care, excellent customer service, safety of our staff and patients, efficiency, employee satisfaction, stewardship of resources and the ideal patient experience for our patients, families, and employees.

  Responsibilities*

  ? Administrative support

  o Payroll

  o Calendar management

  o PTO requests

  o Meeting scheduling and support

  o Manage email groups

  o Troubleshoot various system issues.

  ? Reports

  o Record data in reporting systems

  o Process Concur and expense reports

  o Review and call attention to provider open encounters list

  o EMR reporting workbench (create, run and maintain reports in collaboration with manager)

  o Assist manager as directed with incident reports, financial reports, progress reports, patient letters and other required deliverables.

  ? Supply management

  o Supply inventory management

  o Order equipment

  o Place orders through Marketsite

  o Review delivery packing slips to ensure accuracy

  o Reconcile statement of activity against supply orders.

  ? HR and Physical Space Management

  o Assist manager with HR related duties

  i. Post job openings

  ii. Coordinate interviews

  iii. Assist with onboarding access and equipment needs

  o Assist with exam room allocation

  o Assist manager in review of the safety of physical space

  o Support staff with UMHS safety policies and procedures

  ? Miscellaneous - Other duties as assigned.

  Required Qualifications*

  ? Associates degree in healthcare administration, business administration, or related field or an equivalent combination of education and experience.

  ? Minimum of 4 years of experience.

  ? Proficiency in Microsoft Office software, as well as other databases, e-mail and calendar-keeping software.

  ? Strong interpersonal skills and ability to successfully work with all levels of faculty and staff.

  ? Must possess demonstrated ability to take initiative, work independently, prioritize, manage multiple assignments, and follow through on job responsibilities.

  ? Demonstrates ability to collaborate with others in a team environment, display leadership through problem solving and the initiative to advance knowledge.

  ? Team oriented individual.

  ? Ability to exercise a high level of initiative, discretion and judgement regarding sensitive and confidential matters.

  Desired Qualifications*

  ? Knowledge of University policies and procedures

  ? Demonstrated ability to work effectively with individuals and groups from a variety of identities, culture, backgrounds, ideologies, including personal and social identities.

  ? Experience with MiChart.

  Background Screening

  Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
