About the Role & Team
Disney Experiences is the global hub that brings Disney’s stories, characters, and franchises to life through theme parks and resorts, cruise and vacation experiences, and consumer products—everything from toys to apparel, and books to video games.
We are looking for an Executive Assistant to support a Vice President and two (2) Directors within The Disney Experiences Technology & Digital organization. The ideal candidate will possess robust people skills, a proactive mindset, exceptional organizational capabilities with acute attention to detail, and the ability to uphold professionalism and confidentiality, all while helping us power the magic.
What You Will Do
Every day in this role is different! On any given day you might:
Screen and prioritize incoming meeting requests, email, and phone calls
Manage complex calendars to coordinate constantly evolving and last-minute urgent meetings among executive teams operating across multiple time zones
Assist with general department tasks, including conference room requests, ordering supplies, coordinating general maintenance and upgrades for office equipment, mobile test phones, computers, kitchen duties, etc.
Own and update the organization distribution lists for Slack, Email, by geography and function
Provide office support such as, but not limited to, supporting location based events, completing expense reports, tracking organizational deadlines, ordering supplies for team as needed, handling IT and office services related matters, and serving as a point of contact for the team when needing answers
Be resourceful and find answers to questions if they do not already know the answer
Own the welcoming and on-boarding of new employees to ensure a smooth start
Plan and coordinate Travel
Required Qualifications & Skills
Previous background in a support role or equivalent related work experience
Ability to work across diverse teams with high quality and professionalism to internal and external members of team
Strong interpersonal and communication skills with the ability to develop rapport and strong partner with fellow executive assistants and Chiefs of Staff to support and balance critical business needs
Self-starter with ability to perform successfully in a fast paced, dynamic environment, and interested in going above and beyond the basic job duties
Resourceful and comfortable independently navigating the unknown
Ability to utilize critical problem-solving skills to work through challenges
Demonstrated ability to leverage good judgment on behalf of the executive
Strong organizational and time management skills to proactively support the executive
Ability to be pro-active, resourceful, flexible, and responsible
Proven ability to work effectively in a team environment
Preferred Qualifications
Skilled in designing dashboards on programs, like SmartSheets or similar, to support portfolio metrics
Proficiency in presentation technologies such as Outlook, Excel, Word, PowerPoint, GoogleDocs, and/or Keynote
