Job Summary
This position is responsible for a variety of accounting duties that range in level of complexity from clerical accounting duties such as managing receivables or serving as payroll reporter, to more complex duties such as preparing budgets or reconciling accounts, as well as processing and recording scholarship and financial aid payments. Requires meticulous attention to detail.
Responsibilities
Accounting and Fund Management
a. Receives, records, processes, and posts external payment of scholarship and/or financial aid funds accurately and timely
b. Reconciles accounts and identifies discrepancies for resolution
c. Identifies ineligible payments and/or ineligible recipients and seeks appropriate and timely resolution
d. Assist in monitoring and reconciling financial aid and scholarship program budgets
e. Supports efficient and effective fund management, including journal entries and account transfers as authorized
f. Documents accounting records and transactions effectively and consistently
g. Ensures data accuracy and consistency, and researches and resolves missing or conflicting data
Records and Report Preparation
a. Supports processing time and attendance records for student employment
b. Supports timely and accurate reporting of student employment records
c. Assists with completion and submission of data reporting requirements
d. Supports preparation of routine reports and profiles for management review documenting status of financial aid and scholarship programs
Compliance and Support
a. Provides clear and accurate documentation of transactions, conversations, interactions, and edits to records affecting student eligibility and/or compliance with applicable regulations, statutes, and/or policies
b. Maintains current knowledge of applicable policies, rules, regulations, technical standards, and high‐impact practices concerning relevant financial aid and accounting matters
c. Maintains access to and a working knowledge of relevant financial aid, student information, and accounting systems
d. Ensures consistency with and adherence to all statutory, regulatory, and policy guidance, including office policies and procedures, donor agreements, grant/program directives, academic requirements, and general accounting principles and practices
e. Maintains privacy and confidentiality of student and family data and information;
f. Maintains security of student records and related information;
g. Actively participates in and contributes to overall office effectiveness;
Professional development and professionalism
a. Participate in approved professional development activities in coordination with supervisor
b. Maintains professional appearance and demeanor, including when engaging students, families, colleagues, and members of the public
c. As needed, serves on various office committees, which may include such functions as communications plan, appeals processes, outreach, personnel, forms and publications, etc.; position may also be asked to serve on Enrollment Management and/or University committees
d. Assists in training employees (permanent and temporary, including interns and graduate assistants), as needed
e. Handles special projects and performs other duties as assigned, which may include working in other areas of the office as needed
Minimum Qualifications
Associate’s degree in Accounting, Finance or a related field, plus two years full-time clerical accounting experience or equivalency (one year of education can be substituted for two years of related work experience) required. The ability to understand, interpret, and apply University and departmental regulations; demonstrated spreadsheet skills; and demonstrated human relations and effective communication skills required. Experience using software programs such as PeopleSoft or Kronos may be required for certain positions.
