Job Description:
Financial Analysis, Reporting & Reconciliation
In coordination with the Director, manages the overall Hamilton Center budget administration, ensuring that funds are accounted for, managed, and distributed appropriately across multiple funding sources, including state-appropriated funds, cash-based funds, grant funds and foundation funds. Monitors all spending for the Center and serves as the financial approver.
Responds to requests from the Director, including creating and running reports, drafting budgets, salary projections, financial analyses, assisting with audit preparation, etc.
On a monthly basis, analyzes and reconciles financial records for the Center by reviewing all transactions for accuracy and compliance with state, federal, university, and center guidelines.
Works within UF financial systems including UFMarketplace, UFGO, PeopleSoft, Enterprise Analytics, etc. Reviews expenditures, monitors balances, and initiates modifications as appropriate. Processes journal entries, change order requests, cash expense refunds, deposits, etc. as needed.
Oversees all commitments, funding agreements and MOUs including account set up (flex codes, HR combo codes, etc.); and monitors fund usage. Facilitates payroll distribution in conjunction with the HR Generalist.
Center Fiscal Operations
Creates and manages Center policies and procedures and internal auditing of fund usage.
Actively addresses issues and provides customer service to faculty and staff as it relates to fiscal processes. Builds relationships with stakeholders throughout the center, university, and outside constituents.
Provides budget preparation assistance to faculty submitting research proposals.
Oversees academic program financials including tuition, course fees, strategic planning, etc.
Oversees the Center’s direct billing invoices (CNS, Healthnet, etc.) and resolves any issues.
Assists Administrative Specialist with Cost Analysis and Effort Reporting as needed.
Processes all scholarship requests and monitors funding availability for scholarship foundation funds within UF accounting system.
Manages all leasing and contract agreements, including approvals from UF Procurement, and oversight of competitive bidding as necessary.
Responsible for the preparation and submission of vendor invoices for services rendered (Accounts Receivables), payment authorizations, and interdepartmental encumbrances and payments. Subsequent follow-up and tracking of payments and expenses within the PS application for reconciliation.
Assists Assistant Director as needed to ensure all pertinent UF and State rules and regulations are adhered to when organizing all center events such as guest speakers, conferences, workshops, holiday parties, and center lunches. Submits all contract requests related to events to UF Procurement for review.
Facility, Property, Space
Participates in renovation projects of center owned and leased spaces, coordinating with the construction and design planning team and facilities services as it relates to the financial aspects of the project.
Works with Fiscal Assistant to coordinate purchasing of all equipment and supplies including for renovation projects. Maintains service and maintenance contracts as needed.
Serve as the center’s Asset Manager and coordinates with Fiscal Assistant to ensure decals and off-site certifications are completed as required. Handles the process of disposing of old equipment through UF surplus.
Has primary responsibility for annual space certification including interviewing faculty as it relates to space usage and entering all data into the space system. Leverages center staff and resources as appropriate.
Expected Salary:
$45,600.00 - $72,900.00
Minimum Requirements:A bachelor's degree in an appropriate area and two years of relevant experience.
Preferred Qualifications:
Experience in an Academic or University setting; familiarity with University of Florida policies and procedures; knowledge of UF’s financial systems; previous HR and fiscal experience;
Ability to work independently, to listen and follow directions, and meet deadlines;
Ability to communicate effectively verbally and in writing;
Ability to collect, compile, evaluate, and analyze, data;
Ability to plan, organize, coordinate and prioritize multiple work assignments;
Ability to accurately enter data and respond in a timely manner to information requests;
Ability to establish and maintain an effective working relationship with faculty and staff;
Knowledge of, and ability to use, standard business formats and styles, correct spelling, punctuation, and grammar with particular attention to ensuring communications are well put together and formatted correctly; exceptional organizational and time management skills, high levels of attention to detail, reliability, and professionalism; ability to multi-task and meet deadlines.
Outstanding computer knowledge and demonstrated skill using Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook), Adobe Acrobat, DocuSign;
