Job Summary
Reporting to the Vice Provost for Academic Innovation and Institutional Effectiveness under limited supervision, the Academic Planning Analyst organizes and performs a variety of complex administrative duties in direct support of the Vice Provost and academic planning, assessment, and institutional accreditation. The Analyst provides administrative and analytical support and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion, maintain a realistic balance among multiple priorities, and routinely interface with a wide variety of stakeholders. The Analyst will work in partnership with several committees and groups such as the Academic Planning Committee, Academic Assessment Committee, Accreditation Review Committee, and Academic Senate to support the development, implementation, or review of related policies and practices. The position is responsible for maintaining the accuracy and usability of information delivered to stakeholders including evaluative reports to fuel a culture of continuous program improvement and institutional excellence.
Key Responsibilities
Serves as the primary staff liaison in support of administrative activities related to academic planning, academic program assessment and accreditation (i.e., Institutional Effectiveness)
Assists with the development, maintenance, and revision of academic planning and assessment materials including policies and procedures, templates and forms, training/orientation resources, and annual reports
Manages the academic planning workflow, calendar of activity, and email accounts
Communicates and supports deans, associate deans, chairs/directors, and other leadership and staff regarding all the academic planning components (e.g., self-study submissions, external reviewer information, preparing for site visit)
Oversees the agenda and taking of minutes for the Academic planning Committee and the Academic Assessment Committee
Liaises with the faculty Director of General Education regarding the recertification of GE Courses and Associate Dean of Graduate Studies regarding the recertification of graduate GWAR courses
Maintains up-to-date program records files for academic planning, assessment, and accreditation
Participates in assessment listservs and blogs; maintains updated knowledge on university, regional and federal accreditation practices/policies; develops, maintains, and disseminates assessment resources for campus use via campus website
Serves as lead analyst to Accreditation Liaison Officer (ALO) and performs administrative oversight and coordination duties associated with the Western Senior College and University Commission (WSCUC) accreditation
Maintains currency with WSCUC standards, processes, and regulations, drafting updates of recommended policy changes that affect the university’s reaccreditation and serving as a resource for information about WSCUC standards, processes, and requirements
Coordinates university-wide and departmental/program documents central to reaccreditation efforts ensuring compliance with federal and regional accreditation standards related to assessment
Prepares the Annual Report to WSCUC working with campus offices to secure information and ensure accuracy and approval and maintaining effective communication with WSCUC staff in coordination with the ALO
Updates catalog and Chancellor’s Office required reports annually related to programmatic accreditation
Develops and tracks an overall master calendar schedule of specialized accredited program due dates for self-studies, site-visits, interim reports, and additional implementation follow-up activities in line with institutional review processes
Manages the annual Professional Program Accreditation Budget process, working closely with college DROs to estimate programmatic annual and reaffirmation dues for the coming fiscal year
Supports and coordinates activities for the Accreditation Review Committee (ARC)
In close collaboration with the ALO and the chair of ARC, assists in the preparation for, and the successful conduct of, WSCUC accreditation reviews, both comprehensive and any follow-on reviews or communications
Knowledge, Skills & Abilities
Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent policies, procedures, laws and regulations and present recommendations or information to individuals or groups in a persuasive manner
Project management skills, which include but are not limited to clear and concise communication, organization and time/task management abilities, planning and scheduling, technical and research knowledge, and adept in relationship and team building
Ability to manage and oversee multiple programs’ operational needs, execute logistics to ensure their efficacy, and provide recommendations of areas of improvement.
Ability to apply analytic mindset and use appropriate techniques to evaluate the effectiveness of policies, programs, and practices
Ability to identify important insights from various data and program sources and suggest implications for university policy and practices
Proficient writing and presentation skills including the ability to communicate technical details to nontechnical audiences
Ability to support academic leaders on their program and assessment management practices
Understands academic policies and programs to support planning, accreditation, and assessment to help evaluate its effectiveness
Excellent interpersonal skills to work effectively with diverse constituents, the ability to work with individuals at all levels in the organization and strong relationship building skills
Working knowledge of software applications and platforms: MS Office, Google Suite, and PeopleSoft
Ability to produce tables and graphical analysis following data presentation conventions and techniques in software systems such as Microsoft Excel
Ability to quickly adapt and maximize productivity through use of appropriate tools, planned training, and performance initiatives
Ability to anticipate problems, develop solutions, and address them proactively
Ability to train others on new skills and procedures and provide lead work direction
Ability to communicate with constituents in a professional and respectful manner
Required Qualifications
A bachelor's degree and/or equivalent training
Four years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
Five or more years of progressively more responsible administrative work involving study, analysis, and/or evaluation leading to the development or improvement of policies, procedures, practices, or programs
An understanding of academic planning, academic program assessment, and/or accreditation processes in higher education
Demonstrated experience with project management (e.g., planning, budgeting, process management, scheduling/task management, documentation development)
Excellent written communication skills
Experience working in a university setting

Classification: Administrative Analyst/Specialist - Exempt II
Anticipated Hiring Range: $6,242/month - $7,062/month
CSU Salary Range: $5,022/month - $9,083/month
