Issues are rarely referred to the supervisor but are handled at the occurrence.Essential Duties for an Administrative Assistant II:Assists in reviewing, analyzing and evaluating program content in order to monitor and develop administrative policiesand procedures and to identify problems and recommend solutions.Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments in computer system as needed.Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, and travel information.Maintains records and inventories of materials, supplies and equipment.Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.Processes receipts and invoices for payment.Coordinates travel services to include making travel arrangements, securing transportation and lodging services, and submitting reimbursement on the travelerandrsquo;s behalf.Performs asset management to include surplus property and conducting inventory reviews and reconciliation: and serving as a primary contact for first-level technical support to include submitting tickets for malfunctioning hardware.Performs other job responsibilities as assigned.Essential duties, in addition to all the above, for an Administrative Assistant III:Receives requests for information, conducts background research, compiles pertinent data, and disseminates information.Represents the supervisor at meetings and is in contact with other governmental agencies and professional groups.Reviews information going to the supervisor and highlights important matters; researches and provides additionalinformation as needed; briefs supervisor on background information needed for meetings.Trains other clerical or technical staff.May serve as a lead worker by serving as a resource for complex questions; presenting workflow and operational updates to the supervisor/manager; providing input on team membersandrsquo; career conversations; and approving leave requests to ensure.Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content, and clarity.Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, and travel information.Receives new, retires old and records transferred equipment; witnesses and documents the disposal of retired equipment; ships obsolete equipment to a central storage area.Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or equipment and monitors contracts.Performs other job responsibilities as assigned.
