Position Summary:
Provides administrative support for the activities of purchasing,municipal utilities and public works. Respects
confidentiality of department activities and ensures that the integrityof the department information is maintained.
Tasks:
Prepares correspondence, memos, reports, minutes, documents, orders andstatistical data such as charts, tables
and graphs from written, typed, or verbal instructions
Assists with procurement of goods, services and supplies for all Citydepartments
Reviews purchase specifications; obtains, analyzes, compares, andprepares requests for quotations and
invitations for bid
Sets-up and maintains office files, records, and indices using computerapplications that include use of electronic
mail, word processing, spreadsheets, and special data bases
Posts information to records where judgment must be exercised in theselection of data
Prepares special and periodic reports that involve compiling data from anumber of sources
Takes and prepares minutes of meetings
Administer work order process including tracking work progress andpreparing miscellaneous invoices
Maintains control files of matters in progress to monitor and expeditetheir completion
Coordinates time, place and participant arrangements for meetings; ormaintains appointment calendars
Archive and retrieve documents including contracts and reports
Assist in preparing and monitoring annual budgets
Administer department travel authorization and reimbursement process
Orders supplies and maintains supply inventories
May lead seasonal/temporary employees, or Department of Correctionsworkers
Provides courteous, high quality service to members of the public bypersonally responding to requests for
service or appropriate referral
May occasionally operate a forklift
Deals with the public in a manner that positively promotes the image ofthe City and handles complaints tactfully
All employees of the City of Winfield are subject to immediate calloutwhen an emergency, disaster or breach of
homeland security occurs. Such call to respond and assist may involvethose activities to his/her regular job
responsibilities and incorporate other non-job-related duties asnecessary and required of an employee. An
employees response to these matters may require the working of unusual,long hours over an extended period
of time with infrequent breaks or rest periods
