Little Diversified Architectural Consulting, a nationally recognized “Best Firm to Work For,” is seeking an Office Administrator with a positive, collaborative work style for our Orlando, FL Office.
This position plays an important role in providing support for business operations. The ideal candidate will be a highly organized professional with a service mentality. He/she will provide administrative support of a highly complex and responsible nature, interfacing regularly, comfortably, and confidently with individuals at all levels both inside and outside the company.
Responsibilities include:
Facilitating project logistics such as meetings, conference rooms, conference calls, etc. He/she will be responsible for taking meeting minutes, noting action items, and performing proactive follow-up;
Providing additional support to the Office President as needed;
Managing tasks within Project Management software program (Newforma).
A variety of administrative and clerical duties, to include preparation, distribution, and filing of correspondence, reports, contracts, and spreadsheets; vendor meeting set-up and coordination; travel coordination; expense reports; answering phones and greeting guests as they arrive; handling distribution and shipment of all FedEx/UPS packages, mail, and sample returns; and
Providing project assistance as needed, such as plotting, assembling, or scanning drawing sets; collecting municipality project requirements, and coordinating with departments in other offices.
Candidates must possess the following qualifications:
2-3 years of experience working in an architectural firm or other professional services firm preferred;
Strong MS Office Skills; InDesign and Photoshop is a plus;
Strong communication, interpersonal, and organizational skills.
