  Position Overview:

  An office operations manager is sought to oversee the day-to-day operations of our New York office and ensure procedures and systems function smoothly. The responsibilities are broad: from building a great work environment to helping onboard a new hire to acting as an executive assistant. This is a critical role for employee happiness, safety, retention and more. In addition to our head office in New York, the operations manager will manage our satellite offices in Plymouth Meeting, PA and Robbins, NC to the extent certain functions can be done remotely.

  A successful candidate will recognize potential problems, develop insightful solutions, drive change, and maintain improvement. When unexpected problems arise, they remain optimistic and welcome the challenge. Being able to work as a member of a team is absolutely essential.

  This position is New York City based and requires a minimum 4 days in person.

  Essential Job Functions:

  Office Management and Administration

  Point person for maintenance, mail (receiving/sorting/distributing), shipping, supplies, equipment, and errands

  Serves as on-site primary contact for any security, building management, and third-party vendors to support all facility-related needs and activities.

  Manages the day-to-day facilities housekeeping operations of the office.

  Coordinates and oversees prompt completion of maintenance and repairs of office and equipment.

  Addresses employees’ queries regarding office issues

  Receives, sorts, and distributes mail and packages.

  Orders business cards for employees

  Ensures break room areas are clean and supplies are adequately stocked.

  Manages inventory of all office and pantry supplies, and orders replenishment as needed.

  Monitors all printer and multi-functional devices, ensuring paper and ink are properly installed and adequately stocked.

  Maintains key contacts and operating procedures.

  Receptionist

  Serves as key contact for building front desk when registering visitors.

  Answers incoming calls on main office phone-line.

  Manages the reception area to ensure effective security and professional greeting of clients, vendors, guests, and employees.

  Event planning and management

  Organizes and schedules the planning and execution of company events, including catering.

  Plans and seeks budget approval for any offsite team events.

  Evaluates options.

  Security and business continuity management

  Acts as the on-site emergency drill coordinator which plans, conducts, and evaluates emergency drills in coordination with the Operations Risk team.

  Ensures first-aid kits are serviced and in working order.

  Manages employee security access cards.

  Manages IRIS call tree system and quarterly testing.

  Monitors CCTV security cameras for security violations ensuring non-approved personnel are restricted from access to the facility.

  Maintains key contacts and BCM operating procedures.

  Projects

  Assists the head/COO in carrying out various programs and procedures for all company platform employees (e.g., we are in the process of moving offices).

  Assists in the preparation of presentations, reports, and other documents as needed.

  Qualifications/Requirements:

  As the functional title implies, the role requires a mix of management and operations skills.

  Organizational and time management skills: The role requires juggling co-workers, third-party suppliers, long-term business plans, as well as day-to-day operations, at times under pressure.

  Communication skills: Strong written and verbal communication skills to avoid mistakes, resolve conflicts, and give clear directions. The operations manager is one of the few roles within a company that has communication with absolutely everyone, from new employees to the head of the platform.

  Negotiation skills: This position comes with a certain amount of negotiation involved. You will be responsible for a budget to keep the day-to-day office ticking over, as well as larger budgets for company events and more in your daily routine. It’s up to the office manager to make the most of a budget and maximize what the business can get for the money it has.

  Problem solver: Be innovative with the resources you have and make things happen regardless of the problems you may face.

  Attention to detail: Ensure tasks are completed thoroughly and correctly.

  Proficiency with office software: Microsoft Word for contract drafting, Microsoft Excel for budgeting and Microsoft PowerPoint for presentations.

  Working Conditions:

  Office environment with frequent computer, mouse, keyboard use

  Alternating between sitting or standing as needed

  Hearing, talking, reaching, grasping
