The Incidents and Investigation Department will:
Collaborate with the Compliance Officer, their supervisor, and other members of the Compliance Department, as well as all other departments, to help all of our programs know, understand, and meet their compliance requirements expected of them.
Partner with the Quality and Effectiveness Department to assist us in being a true learning organization and create improvement through partnership.
Partner with departments and programs to make improvement a shared responsibility.
Collaborate with our other departments to ensure the long-term sustainability of an organizational culture that reflects the mission, vision, and values of the organization.
Identify potential opportunities and risks within the organization and its environment to protect the organization’s business interests and strategic goals.
Represent Cayuga Centers in the community and with internal and external stakeholders in a manner that strengthens the organization’s brand and aligns with the mission, vision, and values.

The Incident Specialist will enhance the incident management processes concerning incidents involving Cayuga Centers’ clients and staff members. In collaboration with program Staff, Managers, and Directors, the Incident Specialist will analyze incident reports, provide feedback, and work cohesively with programs to improve incident reporting systems. The Incident Specialist is responsible for reviewing comprehensive documentation, working with program staff to develop proficient report writing, and managing diverse incident reporting systems employed across the programs. The Incident Specialist will ensure that proper procedures are adhered to in all daily incident practices and that the notion of "do no harm" is cultivated across programs.
Essential Functions…
Oversee all ORR reporting as it relates to Notices of Concern, grievances, OTIP referrals, ORR National Call Center alerts, and COA standards
Train staff on incident reporting process, Safety principles, procedures, and protocols, including on-site and in the community, Risk prevention measures, and federal and state regulations
Assess incidents, conduct necessary investigations, and ensure appropriate follow-up with all local, state, and federal entities.
Present investigative dialogue and reports to the General Counsel and program leadership for discussion
Elevates all reports related to minors in crisis and ensures comprehensive safety plans are in place for all Unaccompanied Children (UAC) identified
Meet all deadlines required by ORR, state licensing, and federal partners as related to incident reporting and notifications
Actively participate as a program resource in monthly Incident Review Committee meetings by providing incident updates and information relating to program policy, processes, and oversight regulations
Create the agenda for the monthly Incident Review Committee meetings, take meeting minutes, and facilitate follow-up recommendations to the program for response
Reviews staff’s compliance with oversight and state regulations and, through departmental collaboration, report on findings to improve processes and functions in efforts to ensure overall safety
Ensure the grievance process is in compliance with regulations and ensure appropriate follow-up is made
Develop a reporting system to identify trends and training needs and develop training with program leadership.
In consultation with the clinicians, make decisions affecting the safety and well-being of children served and guide the national team
Monitor cases to ensure staff engages each child and the family/sponsor in the caseload
Monitor critical cases and provide support to ensure that progress toward risk reduction, achieve treatment goals, and positive case outcomes
Assist and engage in other incident-related tasks as needed/required
Schedule: Non-Exempt
Regular hours entail 9:00 am - 5:00 pm or 8:00 am - 4:00 pm, Monday - Friday, with flexibility
Must be flexible to meet program needs
Must be available to work afternoons, evenings, and weekends may be required

Experience and Skills:
Bachelor’s degree preferred
Minimum of 2 years of experience with incident report writing and training of cross-functional teams
Demonstrated strong communication skills that reflect a commitment to collaboration and service.
Demonstrated experience in providing strong customer service
Fluency in Spanish would be an advantage
Strong navigation skills related to Google applications and desire to learn other Incident Reporting Database Systems
Ability to communicate effectively, proofread reports, and provide meaningful feedback to program staff to enhance report writing and appropriate incident response
