POSITION PURPOSE
The Office of Clinical Services (OCS) supports the operations of multiple School of Dentistry clinics in delivering dental care to the state’s largest and most diverse patient population. We utilize a team-oriented approach and work very hard to serve our patients and students.
The Director of Clinical Operations is involved in all aspects associated with patient care, including the predoctoral clinics and central services that support all School of Dentistry clinics. The Director leads, manages, and supervises staff who support clinical functions and implements systems and policies. The Director is a change agent who continually seeks process improvement and is adept at project management. The successful Director utilizes excellent organizational, supervisory, analytical, and communication skills to ensure the operation’s effectiveness and efficiency.
Under the supervision of the Associate Dean for Clinical Affairs, the Director leads, supports, and provides subject matter expertise in the following functional areas:
Patient Intake
Patient Relations
Predoctoral Patient Care Coordination
Predoctoral clinics
Campus Dental Center clinics
Central Sterilization
Simulation Clinic and Labs
Prosthodontics LaboratoryThe Director of Clinical Services understands the complete patient care and educational experience throughout the School of Dentistry, including predoctoral, graduate, and faculty clinics across 20 individual programs. The Director serves a vital organization-wide leadership role, leading groups to consensus and fostering an environment focused on the principles and methodologies of patient-centered care, continuous learning, and improvement. DUTIES AND RESPONSIBILITIES Strategic Management and Leadership (30%):
Lead the development and implementation of efficient processes and operational workflow that foster excellent patient and student experiences.
Collaborate with School of Dentistry Compliance and UW partners to ensure conformity with federal, state, university, and school laws and policies.
Work with department chairs, faculty, program and clerkship directors, and clinic and department administrators to support teaching and patient service missions.
Utilize Microsoft Office Suite tools to communicate, create reports, and manage operations.
Collaboratively draft policies, procedures, and guidelines in accordance with School, university, state, and federal laws and policies.
Work directly with Health Sciences and campus facilities and maintenance units to address physical asset and building functional problems as well as ongoing facilities needs related to the clinics.
Ensure that clinical operations are consistent with Commission on Dental Accreditation (CODA) expectations and clinics and staff are prepared for accreditation site visits.
Develop, assess, and act on quality assurance measures related to clinic operations.Clinical Operations (60%):
Provide direction and management oversight of all operational aspects of the Office of Clinical Services that support predoctoral, graduate, and faculty clinics, including logistics and patient management.
Implement processes and procedures that promote efficient, effective, and responsible stewardship of resources.
Demonstrate familiarity with department budgets and work collaboratively to manage and spend within allocated budgets.
Implement inventory management systems that facilitate efficient clinic operations and fiscal responsibility.
Manage personnel matters for all assigned staff including training, performance, and evaluation, reporting, corrective actions, and compensation.
Lead implementation of clinic policies and procedures consistent with school, university, state, and federal regulatory guidelines. Ensure faculty, staff, and students comply with policies and procedures.
Review and update the Clinic Policy Manual and Clinic Procedures Manual annually to ensure they incorporate accurate and current information.
Assure that staff receive appropriate training on changes and updates to clinic policies and procedures.
Oversee patient relations activity, including direct management of escalated cases in collaboration with UW Medicine Clinical Risk Management.
Monitor patient satisfaction surveys and use data to improve clinic operations and the patient experience.
Collaborate with Health and Safety and Maintenance teams to ensure clinics maintain safe practices and operational functionality.Business Analytics (10%):
Generate clinical activity reports and make recommendations for improvements (staff, inventory, intake processes, etc.)
Evaluate clinical data (patient visits, cancelled appointments, etc.) for operational effectiveness to satisfy educational and financial goals.
Utilize business analytic tools to monitor business processes, data quality, and system utilization to illuminate areas of concern and propose resolutions to address those concerns.
Identify ways to maximize the use of data in support of key activities and present alternatives to management and administration.
Collaborate with faculty and departments in assessing quality and improving evaluation of processes supporting student education and patient care outcomes.
Evaluate training needs for support staff and implement best practices on an ongoing basis.
Review monthly clinic production reports and identify areas for improvement in patient scheduling and services.
Design and maintain a catalog of standard operating policies and procedures that will aid in aligning each business unit with associated pre/post-doctoral program goals.Additional Duties:
Participate in writing and provide documentation for CODA reports and accreditation site visits.
Serve on School of Dentistry committees to contribute to various aspects of clinic operations and continuous improvement initiatives.
Supervise managers and designated staff, including conducting annual performance reviews.
Perform other duties as assigned. MINIMUM REQUIREMENTS
BA/BS in Business, Health Care, Public Administration, or Education.
Minimum of five (5) years of progressive experience managing clinic operations for patient care, including financials, analytics, patient scheduling, patient intake, patient relations and/or other revenue cycle-related activities in a multi-practitioner practice.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
