UCITE empowers learning through innovation and excellence in teaching. The Office of Faculty Development provides resources and programming that support all faculty at Case Western Reserve University in their pursuit of excellence in research, mentoring and leadership.The department assistant works with the faculty directors and assistant directors of UCITE and OFD to perform diverse administrative duties requiring accuracy and confidentiality, and has autonomy to complete responsibilities proactively, with a high degree of independence. The department assistant administers UCITE endowment-based grants and fellowship funding offered to faculty. This position will be responsible for marketing and communications for both UCITE and OFD, as well as coordination of event planning and management, including recruitment, and supervision of student employees. The department assistant will also provide broad programmatic support to faculty advancement.ESSENTIAL FUNCTIONSAdminister all aspects of the Office of Faculty Advancement which Includes UCITE and OFD. Assist the faculty directors in fulfillment of their duties. Serve as the point person for the faculty directors and staff representative for Faculty Advancement. Facilitate communications between the departments and the university. Coordinate workflow between departments as needed. Manage administrative activities for the UCITE Advisory Committee. Arrange meetings and maintain necessary correspondence with attendees, and take minutes. May make public presentations at meetings, conferences, and events. (30%)Organize planned Faculty Advancement events, including speaker accommodations, program management, design, catering, etc. Recruit, train, coordinate and supervise student employees and contract hires to provide event support, including set-up and load-out. (20%)Manage UCITE endowment grants and fellowships. Relay information on sensitive matters to constituents, external or within the university; maintain communication with faculty fellow and grant recipients and university financial management offices. Communicate with the Faculty Advancement Assistant Director to link endowment expenditures to overall unit budgetary management. Authorize routine department expenditures. Maintain supply inventory and replenish when necessary. Assist in preparing budgets for UCITE and OFD. Reconcile monthly expense statements. (20%)Develop marketing strategies and manage the timely design, production, and delivery of promotional materials designed to attract Case Western Reserve University community members to programs and events. Develop and manage the UCITE website content. Produce the monthly UCITE newsletter. Collaborate with University Marketing and Communications regarding web development and content, graphic design, print production and photography/videography (10%)Process complex and highly confidential information and maintain other departmental records. Provide data and analysis for reporting, in coordination with the UCITE and OFD directors. (10%)Collaborate with the Assistant Director of Faculty Advancement and UCITE in the planning and delivery of faculty advancement programs, including program design, implementation, and evaluation.
