Position Description
The Administrative Services Officer 2 - Codes/Property Standards position performs administrative duties involved in a variety of services essential to operation of the Property Standards division of the Codes department.
During the 2023 fiscal year, Codes issued and tracked $5.8 billion in building permits, more than any previous year. The department concerns itself with the safety of the public as occupants in homes and buildings throughout the county, and also promotes beautiful neighborhoods through the enforcement of local codes and zoning regulations. Codes is an exciting place to work during this period of growth and construction.
Typical Duties
Assist with administrative operations of the Property Standards division of the Codes Department within five general categories:
Handling Phone Calls
Processing Inspector Abates
Processing Orders (Property Repairs and Demolitions)
Processing Landlord Registrations
HUB Requests
Daily fielding of high-volume phone queries.
Using mapping tools and GIS-based tools to locate property standards violation addresses.
Verify requests for service to ensure validity for Codes inspectors.
Verify complaint requests and ensuring that the appropriate inspector is notified.
Process Abate Notices for property owners that are in violation of Metro Code.
Administration of processing property repairs and demolition orders, including hearing and order notices, to ensure that legal requirements are met as specified by Metro Code.
Administration of Landlord Registration permit applications processing and payments.
Landlord Registration data tracking and analysis in CityWorks system.
Monitor the Property Standards email inbox.
Handle all Codes’ HUB requests including: processing service requests, communicating and coordinating request statuses to internal and external stakeholders, acting as liaison between Codes and other Metro and non-Metro agencies to assist citizens with filing, tracking, and updating requests via HUB Nashville website, and collaborating with the Mayor’s Office and other Metro agencies to implement and develop strategies to utilize HUB Nashville database in assisting citizens with requests.
Train and monitor peers on the effective use of the HUB Nashville program.
Organize and maintain files and reports.
Compose letters, memorandums, and related documents.
Assist with the administrators or manager as needed.
Minimum Qualifications
Bachelor's Degree and some (1-2 years) professional experience in an administrative, financial, technical, or related field.
Additional experience may be considered in lieu of degree.
LICENSE REQUIRED
Valid Driver License

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
Preferred Experience, Knowledge, Skills, and Abilities
Knowledge of CityWorks or similar ticketing/dispatch software
Knowledge of Property Maintenance and Zoning Codes
Knowledge of HUB Nashville program
