Position Summary
Job Description
The Administrative Assistant provides administrative support to the Health Management Department. Duties include but, are not limited to: maintaining calendars, scheduling meetings, providing general administrative support, handling complex and confidential projects, providing basic financial analysis and other general administrative duties.
This role is distinguished from the Administrative Coordinator position by the focus of department driven support, reporting to a Director as well as the complexity of work, degree of supervision received, and the level of autonomy.
Key Outcomes:
Completes special project assignments which may include compiling information, report generation, spreadsheet compilation and analysis, and maintenance of necessary records and files.
Handles scheduling for the department as requested, including meeting participant notifications, reservations, supplies and food arrangements.
Responsible for producing various documents utilizing MS Office software, including minutes, memos, presentations, reports, spreadsheets, correspondence, etc. on a daily basis.
Responsible for managing and maintaining filing system, overseeing operation of all office equipment, managing and prioritizing mail, ordering supplies, and managing office expenses.
Responsible for making travel arrangements.
Is familiar with company policies and procedures.
Education/Experience:
High school diploma or equivalent required. Post-secondary education preferred.
2+ years of relevant clerical or administrative experience.
Experience in a health care organization preferred.
Skills/Knowledge/Competencies (Behaviors):

Advanced skills in MS Office (including Word, Excel, PowerPoint, Access, and Outlook), Publisher, and Visio) Proficiency with the Internet and Intranets.

Ability to take direction from multiple individuals and prioritize tasks appropriately to meet deadlines.
Ability to handle confidential and sensitive information in a discreet and professional manner.
