  Description and Qualifications

  GENERAL SUMMARY

  TheAccounts Payable Specialist (AP Specialist) supports the accounting activities of LifeCenter Northwest through the performance of duties related to the accounts payable, including clinical accounts payable.

  ESSENTIAL JOB FUNCTIONS

  Accounts Payable Duties

  Enter accounts payable transactions in accounting software

  Create accounts payable imports from invoice workflow system, reviewing to ensure proper approval and coding of charges

  Manage vendor invoice log

  Route weekly check run and related invoices to check signers for approval

  Create monthly accounts payable accrual entry and reconcile related general ledger accounts monthly

  Determine appropriate disbursements for weekly check run

  Reconcile vendor statements, and conduct further research when discrepancies arise.

  Review all invoices for appropriate documentation, coding, and approval prior to payment.

  Manage vendor correspondence via phone or email.

  Responsible for obtaining vendor W-9 tax forms and updating or adding vendors in the GL system as needed

  Reconcile vendor list from the GL system with Streamline Verify monthly

  Responsible for issuing vendor Misc-1099 forms in accordance with IRS guidelines.

  Maintain accounts payable aging, ensuring that it is accurate and up to date

  Generate denial letters for charges not owed by LifeCenter NW and send to Administrative Associate for mailing

  Process organ case billing forms as directed by Clinical Accounting Specialist

  Employee Expense Duties

  Responsible for knowledge of Concur system

  Support GL Accountant with employee expense activities as needed

  Supervision

  This position has no formal supervisory responsibilities.

  Other Responsibilities

  Support Accounting Manager in preparation for external audits

  Follows other instructions/directions and will perform other related duties as required by the needs of LifeCenter and leadership team.

  Participate in compliance, quality assurance, and performance improvement programs and initiatives.

  Comply with applicable laws, regulations, and LifeCenter policies and procedures.

  KNOWLEDGE, SKILLS, ABILITIES

  The ability to function and complete work with competing priorities is required.

  Basic proficiency with Microsoft Word and intermediate proficiency with Excel required.

  Experience with accounting software preferred.

  Experience with Concur preferred.

  EDUCATION, EXPERIENCE & JOB REQUIREMENTS

  Minimum one-year accounting work experience.

  Associate degree in accounting, finance, or a related field.

  Relevant work experience and training may be substituted for academic requirements.

  Previous experience in healthcare accounting preferred.

  Requires a valid driver’s license and access to an insured automobile or the ability to arrive and depart from work and work-related functions at expected times.

  Proof of COVID-19 vaccination, or applicable medical or religious exemption will be required as a condition of employment upon offer. For those that need to complete the vaccination series, start dates will be adjusted.
