The Idaho Transportation Department is recruiting for a Technical Records Specialist 1 position supporting our Administration and Engineering teams at our Shoshone office. This incumbent will provide a wide variety of secretarial support functions, including accounts receivable/payable and timekeeper functions. This incumbent will also be the liaison between management, other organizational units, and external and internal customers.
Note: Driving an ITD vehicle is a requirement of this position. Offer of employment will be contingent on a driving record review.
E xample of Duties
Perform accounts receivable and payable tasks.
Prepare all district correspondence, including letters, mail merges, labels and stuffing of envelopes;
Assist district employees as Timekeeper for timesheets which includes answering questions, verifying hours, and making payroll corrections;
Administer 511 alerts by inputting information and monitoring for accuracy;
Serve as point of contact for department personnel regarding dissemination of information to the public.
Serve as the District overlegal permit coordinator;
Reviews and processes documents;
Maintains a manual or computerized records system; and performs related work;
Gathers information, make decisions, resolve problems, and respond to inquiries;
Utilizes independent judgment and discretion as to the methods, policies, and procedures used to complete assignments;
Conducts involved searches which may require accessing and selecting multiple information sources or contact with clients, vendors, or outside sources to obtain information;
Performs specialized support work that involves an extensive in-depth knowledge of the program;
Reviews, evaluates, approves, and processes records and/or documents;
Provides excellent customer service to external and internal customers;
Schedule and coordinate travel arrangements for all D4 employees;
Assist the design/construction team with misc. tasks.
Other duties as assigned.
Minimum Qualifications
Experience:
Monitoring a records system to identify and correct errors;
Researching a variety of sources to resolve problems;
Interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments;
Entering and retrieving data using a computerized records system.
Minimum requirements above gained by at least 6 months of experience.
Desired Qualifications:
1-2 Years of Customer service;
Good knowledge or practical experience using Microsoft and other office software;
Strong interpersonal skills;
Work in an environment with multiple conflicting demands and frequent interruptions;
Communicate effectively and tactfully with co-workers and diverse external customers, some of whom may be irate or under stress;
Prioritize work and meet deadlines;
Establish and maintain effective working relationships with others;
Maintain a predictable and reliable level of attendance.
