Position Summary:
Under the direction of the Practice Manager, with the physician’s order, books patient’s surgery with the operating rooms at hospitals, and manages the surgical booking process from the pre-op to the post-op phase. Maintains departmental booking systems for assigned providers. Answers and screens all telephone calls, and responds to all messages with appropriate follow through.

This is a full-time 40 hour/week position
Responsibilities:
Prioritizes assignments according to the needs of the physicians and patients.
Views booking slip for completeness then contacts each insurance company to determine if a prior authorization is needed for surgery. Schedules Same Day, Inpatient surgeries and OPD procedures in conjunction with the physician’s and operating room schedule.
Notifies patient of surgery schedule, need for second opinion, pre-op testing information, and sends papers to PCP for medical or cardiac clearance. May need to write out lab and radiology testing sheets for patients. Assure EKG appointment set.
Coordinates pre-operative clearance appointments prior to surgery as well as post-operative follow-ups with the provider. Ensures pre-operative clearance appointments are attended, and the patient is cleared for surgery.
Notifies patient of any special preparations prior to surgery.
Arranges for assist for surgery when needed.
Arranges for radiographs and notifies vendors of special equipment to be sent to the hospital for surgery or procedures requiring these.
Documents in IDX surgical date for billing tracking purposes. Documents in IDX and notifies provider of any cancellations or surgical date changes.
Documents in physician’s planner, times and locations of all cases.
Responsible for insurance pre-certification for all elective surgeries.
Maintains daily list of all patients in hospital and physician assignments for the following day.
Obtains prior authorizations for imaging and coordinates imaging and follow up appointments for the patient in collaboration with billing and coding department.
Coordinates appointments with outside facilities, if patient is being referred elsewhere
If patient is being referred to an outside facility gathers pertinent referral information to provide to the new facility (physician order, imaging report and disk, clinical, insurance referral) and ensure the appointment has been attended.
Obtains signed consent forms, H&Ps Obtains all lab results, EKG and radiology results, medical clearances and faxes to PAT, verifying receipt before surgery.
Reports patient complaints to the practice manager.
Maintains open communication with the physicians, staff, and patients.
Assists in orienting and training others the functions and duties of the position.
Responsible for Administrative, Clinical, and Human Resource policies pertinent to the position and responsibilities
Performs other duties as necessary. Assists peers in other roles when work load warrants

BASIC KNOWLEDGE/SKILLS/APTITUDE/EXPERIENCE:
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization may exist.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Must be able to reasonably make appropriate judgment in communications and actions with patients, physicians, other associates, outside agencies, and vendors.
Education/Experience/Licenses/Technical/Other:
Education: Graduate of an accredited Medical Secretarial program preferred. Bachelors Degree preferred
Experience (Type & Length): Computer literacy and typing skills required. Knowledge of medical terminology. Customer service and telephone skills preferred. Billing experience preferred
